The Surgery Coordinator manages and coordinates all aspects of outpatient surgical procedures, ensuring smooth operations, patient care, and administrative efficiency.
Responsible for overseeing the entire surgical process. Duties include:Scheduling and Coordination: Organizing surgical procedures, preoperative assessments, and postoperative follow-ups in collaboration with the surgeon, nurses, anesthesiologists, and administrative staffat selective surgical centers and in-office.
Patient Interaction: Acting as the main point of contact for patients, explaining preoperative and post-operative instructions, addressing concerns, and ensuring patient satisfaction.
Administrative Tasks: Managing patient records, verifying insurance coverage and authorizations, determining reimbursement, patient liability, preparing consents for treatment, collecting copays/co-insurances, preparing bills, maintaining surgical logs. For cosmetic services: obtaining consents, collecting charges, taking pre and post photos (with appropriate patient authorization)
Clinical Support: Ensuring surgical rooms are prepared with necessary equipment and supplies, maintaining sterile environments, and reporting any equipment/supplies issues.
Communication and Liaison: Coordinating with insurance companies, managed care organizations, and other third-party reviewers to confirm procedure coverage and length of stay (if any)
Problem-Solving: Handling scheduling conflicts, emergency surgeries, and unexpected changes in surgical plans
Medical Knowledge: Understanding of surgical procedures, medical terminology, and hospital protocols. Otolaryngology and/or facial plastic surgery preferred.
Organizational Skills: Ability to manage multiple schedules, appointments, and administrative tasks efficiently.
Communication Skills: Strong interpersonal skills to interact with patients, families, and medical staff.
Attention to Detail: Accuracy in handling records, insurance verification, estimating service charges, and surgical documentation. Maintaining detailed records of all communication and transactions.
Problem-Solving and Adaptability: Ability to work under pressure in a fast-paced environment.
Customer Service Orientation: Ensuring a positive patient experience throughout the surgical process.

Medical office with one physicians: Otolaryngology/ Facial & Cosmetic Surgeon, and Internal medicine specialty physicians. Private practice with excellent clientele and work environment. Most patients are referrals from community physicians, non-HMO cases but the office accepts most PPO insurances. There is a high volume of daily phone calls for appointments, in general it is a fast pace work environment.
