Job summary

EyeSouth Partners is seeking a Surgical Scheduler to coordinate ophthalmology procedures across multiple locations. You will enter case details into our scheduling systems and EHR, verify insurance and referrals, and communicate schedules to surgeons, nursing staff, and anesthesia.

We value accuracy, patient-centric service, and the ability to multitask in a fast-paced environment. Travel to practice locations is required as needed and HIPAA compliance is essential.

Qualifications

• High School Diploma or equivalent.
• Experience as a Surgical Scheduler or Patient Access Representative preferred.
• Ophthalmology experience preferred.
• Experience with EHR software; NexTech/Intellechart Pro experience strongly preferred.
• Knowledge of contracted insurance plans and procedures.
• Ability to travel to all practice locations as necessary.

Responsibilities

• Schedules surgical procedures based on surgeon availability, operating room capacity, and facility guidelines.
• Accurately enters and updates surgical case information in scheduling systems and electronic health records.
• Manages schedule changes related to cancellations, postponements, or urgent add-on cases.
• Verifies required documentation prior to scheduling (e.g. surgeon orders, case details, preference cards as applicable).
• Verifies patient insurance coverage and ensures all required referrals and documentation are completed prior to scheduling.
• Obtain necessary prior authorizations for surgical procedures as needed.
• Communicates finalized schedules and updates to the surgeons, nursing staff, anesthesia, and ancillary departments.
• Identifies and resolves scheduling conflicts to optimize workflow and efficiency.

Job description

Georgia Center for Sight offers a full spectrum of vision care while providing the highest quality patient care. We offer eye care for the entire family, including exams and treatment for Dry Eye Relief, Glaucoma, Macular Degeneration, and Diabetes. We also offer Refractive Cataract and Standard Cataract surgery at our in-house ambulatory surgery center. In addition, we also offer other refractive correction procedures including LASIK and PRK.

• Schedules surgical procedures based on surgeon availability, operating room capacity, and facility guidelines.
• Accurately enters and updates surgical case information in scheduling systems and electronic health records.
• Manages schedule changes related to cancellations, postponements, or urgent add-on cases.
• Verifies required documentation prior to scheduling (e.g. surgeon orders, case details, preference cards as applicable).
• Verifies patient insurance coverage and ensures all required referrals and documentation are completed prior to scheduling.
• Obtain necessary prior authorizations for surgical procedures as needed.
• Communicates finalized schedules and updates to the surgeons, nursing staff, anesthesia, and ancillary departments.
• Identifies and resolves scheduling conflicts to optimize workflow and efficiency.
• Provides patients with basic logistical information such as surgery date, time, and location assigned.
• Answers phone and responds to inquiries.
• Interacts with all internal and external customers in a caring and respectful manner.
• Ensures compliance with HIPAA, confidentiality standards, and organizational policies.
• Assists with reports or audits related to operating room utilization and scheduling efficiency, as requested.
• Contributes to the team effort by completing additional tasks or projects as directed.
• Attends daily huddles and regularly scheduled team meetings.
• Attends Ambulatory Surgery Center meetings as requested and approved by management.
• High School Diploma or equivalent
• Experience as a Surgical Scheduler or Patient Access Representative preferred
• Ophthalmology experience preferred
• Experience with EHR software; NexTech/Intellechart Pro experience strongly preferred
• Knowledge of contracted insurance plans and procedures
• Ability to work in a fast-paced environment
• Must have ability to travel to all practice locations as necessary
