Job summary

Unio Health Partners (UHP) is seeking a Surgery Scheduler to maintain an efficient surgical schedule between patients, physicians, hospitals, and centers. The role requires excellent organization, troubleshooting, and communication to meet scheduling needs across the practice.

The candidate will handle prior authorizations, coordinate pre/post operative appointments, and ensure EMR documentation is complete and up-to-date. Medical Assistant experience and bilingual Spanish are preferred.

Qualifications

  • 1+ years of experience in surgical scheduling (preferred).
  • 1+ years of experience in a medical setting (preferred).
  • Medical Assistant experience highly preferred.
  • Prior experience with electronic medical record software (preferred).
  • Prior knowledge of medical terminology and coding (preferred).
  • Bilingual (Spanish) is preferred.

Responsibilities

  • Perform prior authorization submission and confirmation.
  • Schedule pre and post operative appointments applicable to the practice.
  • Maintain and confirm that surgical scheduling records are current and accurate.
  • Coordinate and confirm availability of equipment required for all procedures.
  • Assist with scheduling of in-office procedures including diagnostic imaging studies.
  • Ensure surgical orders, required clearances, labs, authorizations, and history and physicals are uploaded to the EMR prior to procedures.
  • Document and confirm surgical clearance and completion of pretesting prior to cases.

POSITION SUMMARY

The Surgery Scheduler is responsible for maintaining an efficient surgical schedule between patients, physicians, hospitals, and surgical centers. This position receives scheduling requests from physicians and schedules procedures according to established guidelines. The Surgery Scheduler must have excellent organization, troubleshooting, and communication skills. Communication with physicians, staff, and patients is paramount in this position to ensure that scheduling needs are met effectively and efficiently.

What you will be doing
  • Perform prior authorization submission and confirmation.
  • Performs designated office coordinator responsibilities in support of daily clinic operations.
  • Confirm coverage eligibility.
  • Confirm that the submission of prior authorizations for all required procedures is complete.
  • Schedule pre and post operative appointments applicable to the practice.
  • Maintain and confirm that surgical scheduling records are current and accurate.
  • Coordinate and confirm availability of equipment required for all procedures.
  • Confirm block dates are current and release dates are released in a timely manner per company guidelines.
  • Assist with scheduling of in-office procedures including, but not limited to diagnostic imaging studies.
  • Ensure surgical orders, required clearances, labs, authorizations, history and physicals are sent to the appropriate treating facility and are uploaded to patient’s EMR prior to procedures.
  • Confirm pre-op labs and coordinating of procedure/surgical testing are completed.
  • Document and confirm surgical clearance and completion of pretesting prior to cases.
  • Verify EMR scheduling correspondences between physician, patient, and surgical facility are completed.
  • Assists with administrative and operational tasks to support the surgical scheduling workflow and overall department needs.
  • Collaborates with clinical and administrative staff to coordinate patient and surgical activities.
  • Medical Assistant (MA) experience or clinical knowledge preferred.
