Responsibilities

  • Provide chief clinical and administrative support for the surgical practice.
  • Serve as physicians' clinical coordinator and manage patient-related affairs.
  • Coordinate patient affairs by applying knowledge of surgical and clinic authorization.
  • Schedule surgical procedures across multiple departments and areas of specialty (e.g., OR, schedulers, pre-op clinics, anesthesia, admissions).
  • Coordinate operating room or procedure room schedule times and clinical schedules.
  • Obtain authorizations for surgery-related orders (e.g., DME/HH and PT) after surgery prior to follow-up in clinic.
  • Communicate surgery time and location with patients and family members and with the Surgeon.
  • Enter patient information into UCSD EPIC system; work with surgeons, NPs, Fellows, and departments to collect required data.
  • Prepare and distribute notes to referring physicians and medical records; scan outside records into EPIC.
  • Provide coverage for other surgery schedulers or authorized staff and support patients for timely care.
  • Participate in clinic process improvement initiatives and prioritize tasks in a team setting.

Job description

DESCRIPTION

Under supervision, incumbent provides chief clinical and administrative support for the surgical practice. Serves as physicians' clinical coordinator and is responsible for all patient-related affairs. Coordinates patient affairs by applying knowledge of surgical and clinic authorization. Schedules surgical procedures for patients by coordinating the logistics of multiple department and area of specialty (e.g. operating room, schedulers, pre-op clinics, anesthesia and admissions).

Responsible for the schedule times in the Operating Room or Procedure Room. Responsible for the clinical schedules and surgical appointments. Responsible for obtaining authorizations for surgery related orders such as DME/HH and PT that is needed directly after surgery prior to follow up in clinic. Responsible for communicating surgery time and location with patients and family members, as well as the Surgeon.

Processes all patient related information into the UCSD EPIC system. Works closely with surgeons, NPs, Fellows and internal departments to ensure that all required information has been received. Prepares and distributes notes to referring physician and medical records. Participates in scanning outside medical records into EPIC along with completing appropriate EPIC patient documentation.

Performs a variety of other clinical administrative duties in support of patient services as needed. Ensures smooth day-to-day operation for the clinic by providing clinical support to the department. Provides coverage for other surgery schedulers or surgical authorization staff as required. Provides support and communication for patients, monitoring the timeliness of providers. Participates in clinic process improvement initiatives. Position requires initiative, the ability to prioritize demands and the ability to work in a team environment.

MINIMUM QUALIFICATIONS
  • Three (3) years of experience with scheduling and authorization in a hospital setting.
  • Three 3 (or more) years of recent surgery scheduling experience particularly with Spine Scheduling.
  • Six (6) months to one (1) year orthopedic experience.
  • Knowledge of third-party payors including federal, state and private health plans.
  • Excellent communication skill and good customer service.
PREFERRED QUALIFICATIONS
  • Experience with EPIC system.
  • Bilingual English & Spanish (oral and written) preferred.

  • Must be able to work various hours and locations based on business needs.

Pay Transparency Act

Annual Full Pay Range: $60,865 - $80,304 (will be prorated if the appointment percentage is less than 100%)

Hourly Equivalent: $29.15 - $38.46

Factors in determining the appropriate compensation for a role include experience, skills, knowledge, abilities, education, licensure and certifications, and other business and organizational needs. The Hiring Pay Scale referenced in the job posting is the budgeted salary or hourly range that the University reasonably expects to pay for this position. The Annual Full Pay Range may be broader than what the University anticipates to pay for this position, based on internal equity, budget, and collective bargaining agreements (when applicable).
