Job summary

Pediatric Home Service, Inc. in Minnesota is seeking a full-time Supporting Documentation Specialist to join our customer service team. You will handle in-person, email and phone conversations to obtain and verify documentation while ensuring patients receive timely care.

The role emphasizes accuracy, HIPAA compliance and cross-team collaboration with Admissions, referrals and providers, with a hybrid work model after training.

Qualifications

• DME intake/admissions experience preferred.
• Excellent organization, multitasking and communication skills.
• Experience with Brightree EHR is a plus.
• Experience obtaining Title 19 with health care providers.

Responsibilities

• Obtain prior authorizations, statements of medical necessity, and other required documentation.
• Communicate with physician offices and providers to request missing or updated documentation.
• Review documentation for accuracy, completeness and regulatory compliance.
• Maintain accurate and up-to-date patient records.
• Support patient supply and service orders by ensuring required documentation is received and complete.
• Collaborate with Admissions, referrals, Customer Service and other teams to move orders forward.
• Follow up on outstanding documentation and resolve barriers or delays.
• Maintain confidentiality of patient information and follow HIPAA requirements.
• Provide a positive experience for patients, families, providers, and referral partners.

• Position: Supporting Documentation Specialist
• Hours: Monday-Friday 8am-5pm
  • In office training, hybrid schedule after training complete

THE POSITION:

We are looking for a full time Supporting Documentation Specialist to join our exceptional customer service team who is committed to helping our patients thrive. Our Customer Service department is a fast-paced, high-energy environment and you’ll find yourself challenged and required to use critical thinking every day through a variety of in-person, email and phone conversations. You will also be surrounded by a close-knit and supportive group who all have the same dedication to serving medically complex children and their families.

• Obtain prior authorizations, statements of medical necessity, and other required supporting documentation.
• Communicate with physician offices and healthcare providers to request missing, corrected, or updated documentation.
• Review documentation for accuracy, completeness, and compliance with payer and regulatory requirements.
• Maintain accurate and up-to-date patient records.
• Support patient supply and service orders by ensuring required documentation is received and complete.
• Collaborate with Admissions, referrals, Customer Service, and other internal teams to keep patient orders moving forward.
• Follow up on outstanding documentation and proactively work through barriers or delays.
• Communicate professionally through phone, email, and electronic systems with both internal and external partners.
• Manage multiple patient accounts and documentation requests at once while meeting deadlines.
• Research documentation issues and determine what additional information is needed.
• Maintain confidentiality of patient information and follow HIPAA and organizational requirements.
• Provide a positive experience for patients, families, providers, and referral partners through strong communication and follow-through.

Most importantly, you’ll help make sure documentation doesn’t become a barrier to care for the children and families we serve.

THE QUALIFICATIONS:

• Durable medical equipment (DME) intake/ admissions experience preferred
• Exceptionally organized, multi-tasking, problem solving and communication and strong keyboard skills. A high level of initiative combined with a customer service mentality is also required.
• Experience in Brightree EHR a plus!
• Experience in obtaining title 19 with health care providers

Pediatric Home Service is a pediatric home health agency that has provided high quality DME and nursing services to children that are medically fragile since 1990. Our services allow our clients to remain and thrive in their homes, schools, and communities. The majority of the clients we serve are age’s birth through 21 years old and have a variety of technologies that might include a trach, ventilator or g-tube.

SALARY RANGE:
