Job summary

The City of Norfolk, Virginia is seeking a compassionate Support Technician to provide administrative support to the Same Day Access unit. You will greet clients, answer phones, maintain records, and prepare reports in a public service environment.

One year of general office work experience is required; a bachelor’s degree may substitute. A valid driver’s license is preferred and you will work with the Norfolk CSB team to support recovery-oriented services.

Responsibilities

  • Provide administrative support to the Same Day Access unit.
  • Answer phones and greet clients; route to appropriate staff.
  • Maintain and update records; prepare reports.
  • Operate phone system and transfer calls as needed.
  • Schedule client appointments via EHR/Profiler Scheduler.
  • Type payment vouchers and requisitions; prepare memos and letters.
  • Date stamp and distribute mail; handle confidential items appropriately.
  • Transmit faxes and make photocopies; prepare clinical staff packages.
  • Maintain filing systems and purge inactive files as required.
  • Maintain inventory of office supplies and office equipment records.
  • Handle reimbursement records and postings to cash journals and deposits.
  • Support other SA programs as needed; cover breaks and absences.
  • Ensure waiting area and bulletin boards are tidy; assist with office appearance.
  • Other related duties as assigned.

The Norfolk Community Services Board (NCSB) provides treatment, support, and education to the community with a focus on mental illness, substance use addiction, and intellectual/developmental disabilities. Norfolk CSB provides services to persons in acute crisis as well as integrated, person-centered, and recovery-oriented programming for persons needing assistance and support stabilizing in the community.

Today, the NCSB provides treatment and rehabilitation services to over 6,000 Norfolk citizens yearly. The NCSB is seeking a compassionate and driven Support Technician to make a meaningful impact on the lives of clients serviced in the City of Norfolk. In this role, you will provide administrative support to the Same Day Access unit which includes answering phone inquiries, maintaining and updating records, as well as preparing reports. Assists in maintaining the work management system. Providing information and assistance as needed.

Department Hiring Salary Range: $42,016 - $48,214
Essential functions include but are not limited to:
  • Serves as the administrative support to Same Day Access.
  • Greets clients/visitors and notifies appropriate staff when they arrive. Assist individuals with issues relevant to the assigned program or notify appropriate person in another program to assist consumer.
  • Operates phones/switchboard, transfers callers to the appropriate extension and takes messages as required.
  • Checks voice messages throughout the day and returns calls. Returns all calls by the next business day. If multiple days of leave are scheduled, voice message/email will reflect other appropriate numbers to contact for assistance. Use phone logs, as requested by leadership.
  • Schedules client appointments via Electronic Health Record / Profiler Appointment Scheduler.
  • Types payment vouchers, requisitions for office supplies, meeting minutes, memos, letters, reports, etc., as requested.
  • Date stamp and distribute all mail except that which may be of a confidential/personal nature.
  • Transmit faxes and make photocopies as requested. Prepare packages for clinical staff.
  • Maintains filing systems and purges inactive files when necessary.
  • Maintains inventory of office supplies, records and reports as needed for equipment, supplies, and related inventories.
  • Maintains reimbursement records and accounts which include receiving payments, posting to cash journals, ledger sheets and bank deposit slips.
  • May be requested to work as needed in another SA Program on a temporary basis.
  • Works in concert with other support technicians to cover breaks/sick days/lunch/ emergencies/vacations. To include building coverage for phones, appointment scheduling, and collection of payments.
  • Maintains clinic/waiting room appearance, to include bulletin boards.
  • Other related duties as assigned.

Work requires knowledge necessary to understand basic operational, technical, or office processes. Level of knowledge equivalent to four years of high school or equivalency.

One year of general office work experience. A bachelor's degree or above may substitute work experience (as approved by the department).

Valid Driver's License preferred.
