Job summary

OIC of Washington is seeking a Support Services Counselor 1 in the Weatherization department. The role handles client intake, qualification screening, clerical support, scheduling, and case management under the supervision of the Program Manager.

You will answer phones, copy, mail, and support other program activities. Essential duties include intake to confirm eligibility, scheduling appointments, data entry, record reconciliation, document preparation, front desk support, and maintaining

Qualifications

  • AA degree in social services or related field.
  • Two years of intake or case management experience in social services.
  • Or HS Diploma or GED with additional experience may be considered.

Responsibilities

  • Provide client intake and qualification screening for programs.
  • Schedule client intakes, auditor appointments, and contractor dates.
  • Perform clerical duties; maintain internal procedures and records.
  • Data entry, data quality checks, and document preparation.
  • Front desk support; respond to calls and assist with mail.
  • Maintain confidentiality and comply with policies and regulations.

FLSA classification: Non-Exempt

Minimum Qualifications:
  • AA degree in social services or related field
  • Two (2) years of experience in intake or case management in the social services area
  • OR HS Diploma or GED and additional years of experience may be considered in lieu of education.

Job Location: Multiple Locations

Salary Range: $20.57 – $26.84

Position Overview:

The position is responsible for providing client intake and qualifications, clerical support, scheduling, and case management. Under the supervision of the Program Manager, this position will answer phones, make copies, prepare and distribute mail, and assist with other program support services activities.

Essential Duties:
  • Client Intake and ensure they qualify for the programs.
  • Schedule client intakes, auditor's appointments, and contractor dates and times.
  • Assist with maintaining internal procedures.
  • Check information for completeness and accuracy. Reconcile, correct, or report discrepancies found in records.
  • Data entry and tracking.
  • Prepare necessary documentation before the client's home repairs.
  • Check figures, postings, and documents for correct entry, mathematical accuracy, and proper codes.
  • Input data into database.
  • Comply with federal, state, and company policies, procedures, and regulations.
  • Provide Front desk support in answering calls and maintain the general upkeep of the Resource Room area throughout the day.
  • Provide clients with updates on the status of their application in a timely manner through OIC of Washington formal documentation.
  • Greet the public and assist with scheduling appointments.
  • Assist with processing incoming and outgoing mail
  • Adhere strictly to OIC of Washington Confidentiality Policies and data protection standards.
  • Perform other duties as assigned.
Requirements
Special Knowledge, Skills and Abilities:
  • Proficient bilingual English/Spanish verbal and written communication skills.
  • Effectively communicates with students facing difficult situations, using de-escalation techniques to reduce conflict and support resolution.
  • Analyze policy, procedures, other materials, and make decisions based on analysis.
  • Work independently or as team.
  • Use of computer, various software, databases, and multiline phones.
  • Ability to prioritize and multitask within a set timeframe.
  • Maintain sound judgement, work under pressure, and maintain a high level of confidentiality.
  • Demonstrate a genuine respect for all cultures and diverse populations served by OIC.?

Additional Conditions of Employment:

Successfully pass a Criminal History & Background Check. Successfully pass a pre-employment drug test. Valid WA State Driver’s License and proof of insurance, if requested.
