Job summary

GloryBee Inc. in Eugene, Oregon is seeking a Supplier Approval and Onboarding Specialist to support supplier quality management and regulatory compliance. This onsite role partners with QA, Purchasing, and Sales to maintain vendor data and perform risk assessments.

The ideal candidate has a Food/Nutrition/Science degree with QA experience, PCQI/HACCP training, and familiarity with Tracegains, Repositrak, and ERP systems. Ability to manage multiple supplier projects is essential.

Qualifications

• 3 years of experience in a QA role; prior food industry experience preferred.
• PCQI and HACCP trained or ability to be trained within 6 months of hire.
• Excellent knowledge of Supplier Preventive Controls related to FSMA.
• Ability to navigate internal, customer and supplier portals (Tracegains, Repositrak, etc.).
• Prior MRP or ERP system knowledge; X3 highly desired.
• Able to collaborate with cross-functional teams and manage multiple projects.

Responsibilities

• Conducts a desk audit review of supplier documentation for new supplier approvals.
• Processes supplier approval workflow and maintains vendor master data.
• Performs risk-based supplier reviews and food safety plan assessments with Purchasing.
• Maintains supplier documents and reviews with internal schedules.
• Evaluates new suppliers for existing products by comparing specifications.
• Responds to customer inquiries regarding product info and supply chain questions.
• Maintains customer documentation portals (Tracegains, Repositrak, SafeFood 365°).
• Updates internal product specifications and ERP records as needed.
• Drafts statements to meet QA and regulatory requirements; creates COAs as needed.
• Provides backup for New-Hire QA Training.

The Supplier Approval and Onboarding Specialist role is to execute activities in support of the internal supplier quality management program while ensuring a risk-based approach is used in ensuring supplier compliance with GloryBee programs and regulatory standards. The Specialist provides departmental support and serves as a liaison between Quality Assurance, Purchasing and Sales departments. Worksite is 1680 Irving Road Eugene OR - ONSITE position M-F.

Documentation for New and Existing Suppliers

• Conducts a desk audit review of supplier documentation to aid in new supplier approvals
• Responsible for processing existing and new supplier approval workflow and updating/maintaining vendor master data
• Determines risk of supplier and existing ingredient by performing a supplier review, a risk-based hazard analysis and food safety plan review, working with supplier and Purchasing to mitigate risks
• Maintains updated supplier documents and reviews suppliers based on the internal review schedule
• Evaluates new suppliers for existing products by comparing specifications and other relevant documents
• Provides resolution to customer inquiries regarding product information, supply chain questions and customer questionnaires
• Maintains customer documentation portals including Tracegains, Repositrak, SafeFood 365°
• Revises existing internal product specifications as needed and update ERP system accordingly
• Drafts statements to meet customer and regulatory requirements for QA Management review
• Certificate of Analysis Creation as needed.
• Backup for New-Hire Quality Assurance Training.

MINIMUM QUALIFICATIONS AND EXPERIENCE

• Degree in Food or Nutritional Science, Microbiology or Chemistry. Professional experience will be considered in lieu of a degree
• 3 years of experience in a QA role; prior food industry experience preferred
• Intermediate level of proficiency in Word, Excel, Outlook, SharePoint (page formatting, templates creation, basic graphs, emailing, etc)
• PCQI and HACCP trained or ability to be trained within 6 months of hire
• Excellent knowledge of Supplier Preventive Controls related to Food Safety Modernization Act (FSMA)
• Ability to navigate internal, customer and supplier portals for document administration (Tracegains, Repositrak, etc.)
• Prior MRP or ERP system knowledge; X3 highly desired
• Able to collaborate successfully with cross-functional teams
• Knowledge of allergens, natural foods and organic industry desired
• Strong problem-solving and research skills
• Detailed and accurate
• Strong written and verbal communication skills
• Ability to manage short and long term projects, prioritizes workflow while allowing for flexibility
