Qualifications

  • High school diploma or GED.
  • 3+ years in a laboratory or regulated environment; at least 1 year supervising staff.
  • Supervisory experience preferred in a regulated environment.
  • IATA and 49 CFR transportation safety knowledge a plus.
  • MS Word, Excel, Outlook and PowerPoint proficiency.
  • Excellent verbal and written communication.
  • Strong interpersonal skills and integrity.

Responsibilities

  • Staff, train and supervise Specimen Management personnel.
  • Ensure GLP compliance in the department.
  • Create and revise workload and scheduling for optimal results.
  • Monitor study progress and timelines; track audits.

  • Ensure proper import permits before shipping specimens.
  • Maintain documentation and QC of forms and logs.

  • Assist accounting with reconciliation of shipments and PO numbers.
  • Monitor departmental cleanliness and availability of materials and equipment.

Job description

About The Role

The Supervisor for Specimen Management is responsible for staffing, training and supervising assigned personnel within the Specimen Management area. This position is responsible for ensuring that his/her functional area is operating with full compliance to GLP requirements, Protocol, SOP and additional sponsor requirements are communicated and met through proactive and efficient resource management. The Supervisor will have oversight over the schedule ensuring efficient workflow and group training.

What You’ll Do Here
  • Ensure staff maintain Good Laboratory Practices (GLP).
  • Create, review and revise workload and scheduling to ensure optimal results.
  • Monitor progress of studies to ensure timely response, track and monitor timelines and audits.
  • Schedule and supervise staff in Specimen Management. Determine the training required for the group, train, manage and monitor assigned staff. Communicate areas of accountability and performance expected to staff.
  • Attend and participate in meetings regarding study planning and management of specimens.
  • Coordinates and communicates with Study Directors, Coordinators, Pathologists, Laboratory staff, Vivarium staff and different shipping agencies.
  • Ensure that the proper import permits/certificates are valid and that proper permits/certificates are in place before shipping specimens to intended recipient.
  • Ensure that the department is meeting internal and external deadlines.
  • Ensure that data/equipment is accurate, complete, consistent and compliant to GLP/SOP.
  • Maintain documentation of procedures and equipment used and performs quality control of forms and logs.
  • Ensure that paperwork and packages are compliant with International Air Transport (IATA), International Civil Aviation Organization (ICAO) and Code of Federal Regulations (49 CFR).
  • Assist Accounting with reconciliation of specimen shipments, purchase order numbers and shipments sent by local courier.
  • Monitor the department areas for cleanliness, ensure availability of material, equipment, reagents and expendables.
What You’ll Need to Succeed
  • High school diploma or general education degree (GED).
  • Minimum of three years’ experience in a laboratory or regulated environment desired or equivalent combination of education and experience. At least 1 year training or supervising employees.
  • Supervisory experience is desired, preferably in a regulated environment.
  • International Air Transport Association (IATA) and Code of Federal Regulations (49 CFR) transportation safety requirements are a plus.
  • MS Word, Excel, Outlook and Power Point
  • Excellent verbal and written communication skills.
  • Well developed interpersonal skills are required.
  • Personal/professional integrity and proven discretion in handling confidential information.
  • Ability to develop strong trusting relationships in order to gain support and achieve results.
  • Capable of managing multiple conflicting priorities.
  • Must be self-directed, motivated, and have a willingness to take the initiative to identify and anticipate client needs and make recommendations for implementation.
  • Relevant industry experience a plus.
  • Must be available to work holidays, weekends and evenings.
