Purpose:

The Supervisor of Physician Scheduling provides daily operational leadership, training, and hands-on support for physician scheduling coordinators supporting surgical specialties. This working supervisor ensures scheduling processes are consistent, accurate, and efficient across specialties, with specific accountability for OR utilization support, block time coordination, provider template management, case scheduling workflows, and appropriate release and use of OR time. The role serves as a key liaison between physician scheduling coordinators, providers, operational leaders, and Surgical Services to support specialty growth, provider onboarding, patient access, and effective management of OR resources.

Nature and Scope:

This position supervises physician scheduling coordinators and performs scheduling work as needed to support daily operations, PTO coverage, high-volume areas, vacancies, provider onboarding, and growing surgical specialties. The supervisor establishes standard work, trains and coaches staff, monitors scheduling performance, and promotes consistent use of scheduling workflows, provider templates, block time, and OR resources. The role works closely with Surgical Services and operational leaders to identify trends, resolve scheduling barriers, support appropriate OR utilization, and ensure physician scheduling resources are aligned with department needs.

Operational Supervision and Team Support

Supervises the daily work of physician scheduling coordinators, including work assignment, prioritization, performance follow-up, service expectations, and issue resolution. Maintains working knowledge of physician scheduling coordinator responsibilities and performs scheduling duties as needed to support PTO coverage, vacancies, high-volume areas, and specialty-specific operational needs.

OR Utilization and Surgical Scheduling Coordination

Monitors OR utilization practices, surgical block time, released lines, provider templates, case scheduling accuracy, and available OR time to support efficient use of surgical resources.

Training, Standard Work, and Process Improvement

Develops and maintains training resources, standard work, competency expectations, and workflow tools to improve scheduling consistency, accuracy, productivity, and accountability across surgical specialties. Trains, coaches, and supports new and existing physician scheduling coordinators, including cross-training staff to support multiple surgical specialties and reduce variation in scheduling practices. Reviews scheduling workflows and performance trends; recommends and implements improvements to support patient access, provider satisfaction, employee engagement, and effective OR resource utilization.

Reporting, Communication, and Collaboration

Prepares and shares reports, trends, and operational updates related to case volumes, scheduling performance, block line needs, released time, OR utilization, training effectiveness, and specialty growth. Serves as a resource and point of escalation for physician scheduling coordinators and leaders when scheduling issues, OR access concerns, block time questions, or specialty-specific scheduling needs arise. Maintain collaborative working relationships with providers, practice leaders, operational leaders, physician scheduling coordinators, and Surgical Services to support timely, accurate, and efficient surgical scheduling operations.

Leadership and Mission Support

Supports department growth and the organization's not-for-profit mission by building the scheduling infrastructure, training approach, and standard work needed to scale physician scheduling coordination in a consistent and sustainable manner. Demonstrates People First leadership by coaching staff, creating coverage solutions, supporting the team during high-volume periods, and working alongside physician scheduling coordinators to remove barriers and improve daily operations. Performs other related duties as assigned. This position does not provide patient care.

Minimum Qualifications:

Education:

Ability to read, write, speak, and understand English sufficiently to perform job duties safely and effectively. High school diploma or GED required. Bachelor's degree in business, healthcare administration, or related field preferred.

Experience:

Minimum of two years of experience in scheduling, insurance authorization, or related healthcare access operations required. Minimum of two years of experience in a specialty practice or surgical specialty setting required. Knowledge of medical terminology required. Experience with surgical scheduling, OR utilization, provider templates, block time, surgical case coordination, or related surgical services operations strongly preferred. Previous supervisory, lead, training, workflow development, or standard work experience preferred. Healthcare billing experience preferred.
