Job summary

University of Southern California Arcadia Hospital is seeking a Supervisor – Accounts Payable to oversee the AP department, process invoices and payments, and ensure timely disbursements to optimize cash flow.

The role requires a minimum of 5 years in business with AP experience, 1 year in a supervisory capacity, and a high school diploma (Bachelor's preferred). Arcadia, CA day shift; non-union, non-exempt.

Responsibilities

• Edits due dates and maintains proper account coding for invoices.
• Ensures timely payments and applies discounts when applicable.
• Prepares and reconciles 1099 forms and handles tax-related data entry.
• Maintains control over unpaid invoices and proper vendor statement reconciliation.
• Supervises AP staff, trains new hires, and supports quality improvement initiatives.

Job Accountabilities

• Determines monthly and year-end accrual of un-invoiced liabilities.
• Determines that payments agree to quantity, unit cost and other terms of agreement.
• Edit check due dates on accounts payable system.
• Filing of paid invoices.
• Insures all payments are timely and that the invoices are PAID ONLY AS DUE and not before.
• This is to insure good cash flow.
• Insures proper account coding of all invoices.
• Insures that discounts are taken when applicable.
• Insures that federal identification and social security number is entered into the system when applicable for 1099 purpose. Responsible for compiling and printing 1099 forms.
• Insures that sales taxes are accrued when applicable.
• Insures timely and accurate input to automated system.
• Maintains appropriate control over unpaid invoices.
• Maintains proper accounts payable system which matches vendor invoices with receiving through materials management system.
• Periodically reconciles vendor statements
• Prepares various accounting schedules for General Ledger
• Responsible for resolving problem invoices and/or purchase orders.
• Supervises staff within the accounts payable department by selecting new hires, training staff and evaluating workers.
• Responsible for understanding and participating in the organizational-wide quality improvement program through orientation; education; departmental and interdepartmental quality control; quality improvement; and quality planning activities.
• Supports Finance Division personnel as needed to perform miscellaneous functions and special projects as assigned.
• Ability and willingness to work with others, promotes teamwork, shows willingness to meet new situations and challenges.
• Ability to follow directions and complete assigned responsibilities on time. Follows through on assignments to successful completion with minimal supervision.
• Is courteous and attentive to patients, physicians, visitors, employees and any other individuals with whom they may come in contact.

Pay Transparency

The annual salary range for this position is $68,640 - $116,865. Job Summary

Under the supervision of the Corporate Director of Accounting, the Supervisor – Accounts Payable is responsible for overseeing the entire accounts payable department as well as directing staff in processing invoices and payments for the hospital. Ensures that only duly authorized payments are made and that disbursements are made on a timely basis, so that cash is conserved and discounts are taken.
