Job summary

Boca Raton Museum of Art is seeking a Studio Programs Coordinator to support the Art School’s day-to-day operations, including course registration, scheduling, and evaluation, while helping grow youth and adult studio programs.

Reporting to the Associate Director of the Art School, the coordinator will manage internal systems, communication workflows, and data processes, ensuring an excellent experience for students, faculty, and community partners while contributing to curriculum development

Qualifications

  • Bachelor’s degree in art, art education, arts administration, or a related field.
  • Minimum of 3 years of administrative or program coordination experience in an educational, nonprofit, or arts environment.
  • Exceptional organizational and communication skills, with the ability to manage multiple priorities in a fast-paced setting.
  • Comfort working directly with the public, including children, families, and adult learners.
  • Ability to work occasional evenings and weekends.

Responsibilities

  • Set up all courses and workshops in the scheduling and registration system, ensuring accuracy in dates, fees, descriptions, and faculty assignments.
  • Monitor enrollments and waitlists, recommending additions, cancellations, or room changes as needed.
  • Coordinate the Art School’s room usage schedule to optimize instructional space for courses, rentals, and events.
  • Maintain historical data on course offerings, enrollment trends, and room utilization to inform planning.
  • Serve as the first point of contact for prospective and current students, responding to inquiries with professionalism and warmth.
  • Support walk-in registrations, refunds, transfers, and special requests, ensuring smooth transactions and clear communication.
  • Troubleshoot enrollment or scheduling issues in collaboration with students and faculty, resolving conflicts diplomatically and efficiently.
  • Support planning and delivery of youth and teen programs, including summer intensives and curriculum development.
