Job description

ABOUT THE FIRM

Sabin Viehland Interior Design is a bi-coastal interior design studio specializing in high-end residential interiors across Litchfield County, the Hudson Valley, Santa Barbara County and beyond.

Founded by Michelle Sabin and Audra Viehland, the studio is known for its refined, layered approach, blending historic character with a modern sensibility. Their work emphasizes materiality, color, and thoughtful curation, resulting in spaces that feel both timeless and deeply personal. With a small, highly collaborative team, the studio brings intention and care to every detail, working closely with trusted vendors, artisans, and builders to execute projects at a high level.

ABOUT THE OPPORTUNITY

We are seeking a Studio Coordinator to join our close knit team. This is a highly detail-driven, operationally focused role at the center of the studio’s day-to-day function. The Studio Coordinator supports project flow, manages logistics, and ensures that details, both large and small, are executed with consistency and care.

This role is best suited for someone who is not only organized but naturally anticipates needs, thinks ahead, and takes ownership of outcomes. The right person will bring a strong sense of accountability and pride in getting things right the first time.

This role is critical to the success of the studio. You will be the connective tissue between projects, people, and process—ensuring that nothing falls through the cracks and that every detail is accounted for.

WHO YOU ARE
  • Exceptionally detail-oriented—you notice what others miss and take pride in accuracy
  • Highly organized with the ability to manage multiple moving pieces at once
  • Proactive and forward-thinking—you anticipate needs rather than wait to be directed
  • Strong communicator, both written and verbal
  • Comfortable working in a fast-paced, collaborative environment
  • Confident managing logistics, timelines, and follow-through
  • You are eager to gain exposure across all aspects of the design process and continue growing as a member of our design team.
WHAT WILL SET YOU APART
  • Experience working in a residential interior design studio or adjacent industry
  • Familiarity with project tracking tools (Asana, Design Files, etc.)
  • Comfort working with physical product, vendors, and installation logistics
  • A strong sense of ownership—you treat each task and project as your responsibility to see through
ESSENTIAL RESPONSIBILITIES include but are not limited to:
Studio Operations & Coordination
  • Support the day-to-day function of the studio, ensuring operations run smoothly and efficiently
  • Maintain organization across physical and digital systems, including files, contacts, and internal tracking tools
  • Coordinate calendars, appointments, and team logistics across projects
  • Daily Studio Upkeep
Project & Logistics Coordination
  • Support project flow by maintaining accurate, up-to-date tracking across all active projects
  • Coordinate key milestones including trade days, installations, and deliveries
  • Communicate updates with designers, clients, and vendors to ensure alignment and follow-through
  • Anticipate scheduling conflicts or delays and proactively adjust plans as needed
Product & Inventory Management
  • Oversee the receiving, inspection, and documentation of all incoming product
  • Maintain accurate records and tracking of items from arrival through installation
  • Coordinate storage, deliveries, returns, and exchanges in partnership with the procurement team
Client & Vendor Coordination
  • Assist in coordinating communication with clients and trades as needed
  • Support onboarding of new projects, including documentation and system setup
  • Ensure all parties are informed, prepared, and aligned throughout each phase of the project
ADDITIONAL CONSIDERATIONS
  • This role is best suited for someone who enjoys a dynamic environment and is comfortable supporting across multiple areas of the business
  • Given the nature of a small, collaborative studio, responsibilities may evolve and shift based on project needs and priorities
  • Flexibility and a willingness to step in where needed are essential to success in this position
WORKFLOW & SCHEDULE
  • This is a full-time, salaried position based in the studio
  • The schedule is a 4-day work week (Monday–Thursday), 9:00am–5:00pm
  • The role is primarily in-person due to the hands‑on nature of the work, including coordination, product handling, and team collaboration
  • While the team aims to maintain a consistent schedule, occasional flexibility may be required to support project deadlines, installations, or key milestones. Any schedule adjustments are communicated in advance whenever possible.
TIME OFF & BENEFITS
  • Monthly gas and healthcare stipend
  • Four day work week
  • 10 accrued vacation days + 5 wellness days
  • Paid company holidays (including major federal holidays)
  • Additional studio closures, including:
    • The week between Christmas and New Year’s
    • The Friday after Thanksgiving
STUDIO ENVIRONMENT

We aim to create a supportive and balanced working environment where team members can do their best work while maintaining a healthy rhythm. The team values clear, respectful communication and healthy boundaries. Outside of working hours, communication is limited to time-sensitive or urgent matters. Team members are not expected to respond to emails or messages outside of regular working hours.
