Job summary

Holliston Public Schools is seeking a detail-driven Student Services Coordinator to champion special education compliance, manage complex district workflows, and partner with leadership to ensure students receive vital resources.

The 12-month position reports to the Assistant Superintendent of Student Services, with responsibilities spanning budget maintenance, IEP processes, and state/federal reporting.)

Qualifications

  • Associate's or Bachelor's Degree preferred.
  • Working knowledge of Federal, State Special Education, 504 and Health-related processes.

Responsibilities

  • Assist the Assistant Superintendent in maintaining the department’s annual district budget and applying for federal entitlement grants.
  • Assist the Assistant Superintendent with interviews, meetings, and training sessions.
  • Maintain a system for districtwide documentation of confidential student/staff information.
  • Assist with IEP meetings, evaluations, and observations.
  • Coordinate with the Assistant Superintendent on Circuit Breaker and Tiered Focused Monitoring; ensure files comply with state reporting.
  • Coordinate with the Assistant Superintendent to meet Federal and State procedures related to BSEA and OCR.
  • Coordinate all student packets for Out-of-district referrals.
  • Create and coordinate Out-of-district tuition contracts, schedule evaluations, input attendance and transportation schedules.
  • Supervise and maintain spreadsheets/documentation for Compliance deadlines across buildings.
  • Write and send district letters to BSEA when documents are out of compliance.
  • Manage tuition invoices, contractor billing, staff timesheets and tutor contracts.
  • Oversee Medicaid quarterly reporting and remind staff of deadlines.
  • Complete districtwide referrals for 688 information with the state and assure families of completion.
  • Collaborate to collate district restraint documentation and enter data to state; coordinate Safety Care trainings.

Job Description

Holliston Public Schools is seeking a detail-driven Student Services Coordinator to champion special education compliance, manage complex district workflows, and partner closely with leadership to ensure our students receive vital resources. The Student Services is a 12 month position that reports directly to the Assistant Superintendent of Student Services.

QUALIFICATIONS:

  • Associate's or Bachelor’s Degree (preferred)
  • Working knowledge of Federal, State Special Education, 504 and Health-related processes and regulations; understanding of testing protocols
  • Strong technology skills
  • Ability and knowledge in maintaining a district budget

  • Ability to organize time and resources to complete multiple tasks daily

RESPONSIBILITIES:

  • Assist the Assistant Superintendent in maintaining the department’s annual district budget and applying for federal entitlement grants.
  • Assist the Assistant Superintendent with interviews, meetings, and training sessions.
  • Maintain a system for districtwide documentation of highly confidential student/staff information such as: 51As, DCF custody documentation, and bullying investigation reports.
  • Assist the Assistant Superintendent with the out-of-district students, including: IEP meetings, evaluations, and observations.
  • Coordinates and assists theAssistant Superintendent with Circuit Breaker and Tiered Focused Monitoring; ensuring all files provided by procedural assistants comply with state reporting.
  • Collaborate with theAssistant Superintendent to ensure all Federal and State procedures related to BSEA and OCR are being met and/or responded to promptly.
  • Coordinates all student packets for all Out-of-district referrals.
  • Create and coordinate all Out-of-district tuition contracts for the district, schedule student evaluations, and input student attendance, and transportation schedules.
  • Supervise and maintain spreadsheets/documentation that all buildings are compliant with Special Education deadlines.
  • Writing and sending district letters to BSEA when documents are out of compliance per state guidelines
  • Manage all tuition invoices, contractor billing, staff timesheets and tutor contracts.
  • Responsible for the district’s Medicaid quarterly reporting, and reaching out to staff to remind them of Medicaid: Moment In Time Reporting deadlines.
  • Complete districtwide referrals for 688 student information with the state and provide family assurances of completion.
  • Work with the BCBA to collate all district restraint documentation and enter the data to the state. Coordinate Safety Care Trainings under the direction of the BCBA; update and track attendance of staff trainings and purchases materials.
  • Meet with the Director of Technology andAssistant Superintendent of Student Services to discuss changes, updates, and reporting of Special Education data within the management system.
  • Work with the Assistant Superintendentand building administration re: Specialized Transportation
  • Assists with the supervision and training of Procedural Assistants.
  • Responsible for conducting bi-weekly meetings with Procedural Assistants to share and discuss upcoming changes, implement procedures, and provide necessary training to assist with compliance mandates from the state.

Public School employees of Massachusetts are required to submit their fingerprints to a National Criminal Database check. The check will require you to pay a fee of $55 if you hold an Educator’s License, or $35 if you are an unlicensed employee. In addition to the national background check, a satifsfactory Massachusetts Criminal Record Check (CORI) is required.

Salary: $70,000 to $80,000 Per Year
