Qualifications

  • Bachelor's degree plus two years of student services or college teaching experience, or equivalent combination.
  • Experience with transcript evaluation, prior learning assessment, and graduation auditing is preferred.
  • Experience with online systems (Google Suite, CRM, SIS, Canvas) is desirable.

Responsibilities

  • Lead transcript evaluation and coordinate all prior learning assessments.
  • Assist with graduation, awarding, and student graduation audits.
  • Perform enrollment program coordination and develop enrollment plans for staff and partners.
  • Respond to inquiries and process enrollment documents and MEID/password changes.

Education

Bachelor's Degree from a regionally accredited institution and two years of student services or college teaching experience, or experience coordinating, administering, planning, or evaluating programs.

Job Summary

The Student Services Analyst (Admissions & Records) plans, directs and evaluates daily student services operations for Admissions & Records within a One Stop Enrollment Services Environment with a focus on Transcript Evaluation and Prior Learning Assessment. This position will provide direct support and/or servicing the following stakeholders: prospective and current students, community organizations, college administrators, faculty, staff, high schools, and business/industry. The Student Services Analyst position coordinates all activities of the Admissions & Records office including adhering to Federal, State, County and District regulations, policies and procedures for Transcript Evaluation and Prior Learning Assessment. This role facilitates enrollment sessions and daily processing of enrollment documents in Dynamic Forms. The Student Services Analyst also collaborates and acts as a direct liaison with internal and external partners.

Essential Functions
  • 35% - Provides support to the Director of Student Services in planning, organizing, and implementing enrollment processes and enrollment sessions. Serves as the lead transcript evaluator and coordinates all Prior Learning Assessments (PLA); reviews, collects, and processes enrollment documents. Works closely with the Director to ensure proper Records Management procedures are followed. Develops and implements a Records Management Plan for Admissions and Records. Manages all National Student Clearinghouse errors and inquiries, as well as DegreeVerify. Serves as a subject matter expert, receives general supervision, and prioritizes work to meet deadlines while keeping the supervisor informed of unusual or irregular issues that may impact deadlines, District policies or procedures, or risk management considerations. Keeps abreast of policies and procedures and communicates with internal and external customers through written and verbal communication. Develops procedures, including computerized and/or manual systems, to support program requirements; prepares, processes, and/or reconciles transactions, forms, paperwork, and system data; and monitors and ensures compliance with policies and procedures. Reviews program requirements, researches program activities, and recommends enhancements to ensure program compliance. Assists with quality assurance controls for Enrollment Services. Performs fully proficient professional-level student services work requiring independent evaluation and analysis of program requirements and judgment to select and apply standard techniques, procedures, and criteria to resolve problems and make recommendations that facilitate change management.
  • 35% - Serves as the lead for Prior Learning Assessment processes and Transcript Evaluation. Processes and evaluates transcripts and determines equivalencies of transfer credit for the Admissions and Records Office. Assists with graduation, awarding, and student graduation audits. Manages HCR 100 course enrollment. Assists new and continuing students in person, by telephone, through virtual chat, and via email with student services processes, including admissions, registration, financial aid, and referrals to other related student services functions. Responds to inquiries and resolves problems in accordance with policies and procedures. Maintains liaison with students, faculty, and others to resolve student matters. Performs enrollment program coordination and develops and implements enrollment plans for internal and external staff and industry partners. Performs various Admissions and Records liaison responsibilities with internal and external programs, committees, departments, and organizations.
  • 20% - Implements quality assurance processes, including regular reviews and spot-checks, to ensure the accuracy of completed transactions. Prepares and reconciles reports related to enrollment to comply with District and government requirements. Runs and reviews various exception reports in SSRS, Cranium Cafe/ConexED, Customer Relationship Management (CRM), QLess, SIS (PeopleSoft), and other databases on a daily, weekly, and monthly basis until issues are resolved. Prepares and reconciles reports and statistical data related to enrollment services. Performs other duties as assigned.
  • 10% - Responds to enrollment verification requests and processes program plan changes, class permissions, and documents submitted through Dynamic Forms. Processes MEID/password reactivation requests. Responds to incoming calls and chats and maintains and updates information in CRM/Customer Relationship Management systems.
Minimum Qualifications

Bachelor's Degree from a regionally accredited institution and two (2) years of student services or college teaching experience, or experience coordinating, administering, planning, or evaluating programs.

OR

An equivalent combination of education and experience sufficient to successfully perform the essential duties of the job such as those listed above, unless otherwise subject to any other requirements set forth in law or regulation.

Desired Qualifications
  1. Two (2) years of experience with College and High School Transcript Evaluation, Prior Learning Assessment, and Graduation awarding, and graduation auditing.
  2. One (1) or more years of experience working in Student Information System (s)
  3. Experience with (online systems, i.e. Google Suite, CRM, SIS, Canvas, etc.)
  4. Experience working with degree progress reports/audit system
  5. One (1) year full-time relevant MCCCD experience during the previous two (2) years
