Job summary

Mount Saint Mary College is seeking a Student Information System and Operations Specialist to support the Registrar’s Office in managing the SIS (Jenzabar) functions and related data operations. This on-campus role involves system maintenance, auditing, and collaboration with IT and other departments.

The position emphasizes data accuracy, process improvement, and user training to ensure efficient registrar operations and reliable reporting across enrollment, graduation, and student data

Qualifications

  • Minimum of 2 years in Higher Education, Registrar, or Jenzabar data operations preferred.
  • Demonstrated experience managing data, processes, and systems in a complex, collaborative environment.
  • Strong analytical, written and verbal communication skills; ability to train team on SIS functions.

Responsibilities

  • Serve as the administrator for the Jenzabar SIS, managing configurations, maintenance, optimization, and enhancements.
  • Maintain Jenzabar functionality including reports, rules, permissions, and automations.
  • Lead continuous assessment and optimization of Jenzabar functionality by researching best practices and system enhancements.
  • Monitor, troubleshoot, and resolve complex system, integration, and data issues across Jenzabar.
  • Develop documentation and training materials for Jenzabar users across the Registrar team.

Salary Range: $24.00 To $28.00 Annually

Job Title: Student Information System and Operations Specialist

Reports To: Registrar

Status: Non-Exempt, Full Time

Location: Onsite

Summary/Objective

Reporting to the Registrar, the Student Information System and Operations Specialist supports the Registrar’s Office with the execution, auditing, planning, process review, and the evaluation of all aspects related to initiating and completing functions for the Registrar’s Office. This position will also assist with the maintenance, monitoring, and improvement of the SIS (Jenzabar) functions. This is an on-campus position.

Essential Functions

  • Perform general office duties to include but not limited to data entry, assisting students during registration, greeting visitors, answering phones, etc.
  • Serve as an administrator for the Jenzabar SIS, managing system configurations, maintenance, optimization, and ongoing enhancements in support of registrar operations.
  • Maintain Jenzabar functionality including reports, rules, permissions, and automations.
  • Lead the continuous assessment and optimization of Jenzabar functionality by researching new futures, best practices, and system enhancements to maximize platform capabilities.
  • Monitor, troubleshoot, and resolve complex system, integration, and data issues across Jenzabar.
  • Establish and maintain Registrar standards through regular auditing, ensuring accuracy, and reconciliation of registration, graduation, and enrollment data.
  • Collaborate with Information Technology, Applications Development, Institutional Research, Student Financial Services, and Admissions on system enhancements, integrations, and strategic initiatives.
  • Develop documentation, standard operating procedures, and training materials for Jenzabar users across the Registrar team.
  • Perform other duties as assigned.

  • Ability to train team members on SIS functions and proper use.
  • Ability to collaborate effectively across departments and functional areas.
  • Proficiency with Microsoft Excel and Word.
  • Accurate and efficient data input skills with an eye for detail.
  • Comfortable learning and adapting to new technologies and software.
  • Experience working in a highly collaborate diverse environment with the ability to maintain confidentiality of data.
  • Maintain a broad knowledge base about the College, its programs, and opportunities.

Supervisory Responsibilities

This position has no supervisory responsibilities or direct reports.

  • Office Setting: Cubicles, open desks, or private offices with access to necessary tools like computers, phones, and office supplies.
  • Remote Setting: Working from home or another location with access to virtual communication platforms and necessary technology.
  • Sitting: Prolonged periods of sitting at a desk or workstation.
  • Typing/Computer Use: Frequent use of a computer keyboard and mouse.
  • Vision Requirements: Ability to read and view screens for extended periods.
  • Speaking/Hearing: Regular communication with coworkers and clients in person, over the phone, or via video calls.
  • Lifting/Carrying: Occasionally lifting or moving items up to 10-15 pounds, such as office supplies, laptops, or documents.
  • Reaching/Bending: Periodic reaching for or bending to access files, supplies, or equipment.
  • Mobility: Walking short distances within the office or to meeting rooms.

Required Education and Experience

  • Minimum of 2 years of experience in Higher Education, Registrar, or Jenzabar data operations preferred.
  • Demonstrated experience managing data, processes, and systems in a complex, collaborative environment.

Must be authorized to work in the United States. MSMC does not sponsor employment visas at this time.
