The Student Conduct Case Specialist is responsible for coordinating the daily administrative and operational functions of the Office of Student Conduct. This position manages student conduct processes from referral through resolution, oversees departmental operations, coordinates conduct hearings, maintains confidential records, monitors case progression, and serves as a primary resource for students, faculty, staff, and campus partners regarding the University’s Student Code of Conduct.
The Case Specialist supports the educational mission of Texas Southern University by promoting student accountability, ethical decision-making, personal responsibility, and a safe campus community through efficient administration of the student conduct process. This position exercises independent judgment while ensuring compliance with university policies, federal and state regulations, and student privacy requirements.
Student Conduct Administration
- Coordinate the day-to-day operations of the Office of Student Conduct.
- Receive, review, and process students conduct referrals submitted by faculty, staff, students, and campus departments.
- Manage the lifecycle of student conduct cases from intake through final resolution.
- Maintain accurate electronic and paper conduct records using the University’s case management system.
- Ensure timely communication with students regarding allegations, meetings, hearings, sanctions, and appeals.
- Monitor conduct case timelines to ensure compliance with university policies and procedures.
Case Management
- Coordinate conduct conferences, administrative hearings, and appeal meetings.
- Prepare hearing files, supporting documentation, correspondence, and official notices.
- Track completion of educational sanctions, probation requirements, restitution, community service, and other assigned outcomes.
- Monitor students’ compliance with conduct sanctions and follow up regarding outstanding requirements.
- Generate reports regarding pending cases, sanctions, repeat violations, and case trends.
Office Operations
- Coordinate departmental workflow and daily office operations.
- Develop and maintain departmental procedures that improve operational efficiency.
- Manage departmental calendars, meeting schedules, hearing schedules, and room reservations.
- Coordinate office purchasing, inventory, supplies, and equipment.
- Assist with departmental budget tracking and purchasing documentation.
- Supervise student assistants, graduate assistants, and office workers assigned to Student Conduct.
Customer Service
- Serve as the primary point of contact for students, parents, faculty, staff, and visitors regarding student conduct matters.
- Explain conduct procedures, University policies, student rights, and available resources.
- Respond professionally to sensitive and confidential inquiries while maintaining compliance with FERPA .
- Provide excellent customer service while managing emotionally sensitive situations.
Data Management and Assessment
- Maintain confidential conduct records in accordance with FERPA , University policy, and records retention requirements.
- Compile statistical reports and annual assessment data.
- Analyze trends related to student misconduct to assist departmental planning.
- Prepare reports for divisional leadership and external reporting requirements.
Educational Programming
- Assist in developing educational programming related to:
- Student Code of Conduct
- Academic Integrity
- Responsible Decision Making
- Civility
- Community Standards
- Develop educational materials that promote student accountability and responsible citizenship.
Collaborate with campus partners including:
- Residence Life & Housing
- University Police Department
- Counseling Center
- Title IX Office
- Office of Disability Services
- Academic Affairs
- Student Organizations
- General Counsel (when appropriate)
- Serve on University committees as assigned.

Hiring Range
Hiring Range $64,197.37 - $81,851.64
Education
Bachelor’s degree from an accredited institution.
Master’s degree in Higher Education Administration, Student Affairs, Counseling, Public Administration, Educational Leadership, or a related field preferred.

Work Experience
Required:
- Three (3) years of progressively responsible administrative or student affairs experience.
- Experience working in higher education, student affairs, student conduct, residence life, dean of students, judicial affairs, or related field.
- Demonstrated organizational and project management skills.
- Excellent verbal and written communication skills.
- Ability to maintain confidentiality and exercise sound professional judgment.
- Strong customer service and conflict management skills.
- Proficiency with Microsoft Office Suite.
- Ability to maintain the security or integrity of critical infrastructure, which may include communications systems, computer networks and systems, cybersecurity systems, electrical grid, hazardous waste treatment or water treatment system.
Preferred
- Experience administering student conduct processes.
- Experience using conduct management software such as Maxient, Advocate, or similar systems.
- Knowledge of restorative justice practices.
- Experience conducting educational workshops and presentations.
Working/Environmental Conditions
- Prolonged periods of sitting and computer use.
- Ability to lift to 25 pounds.
- Occasional evening and weekend work to support hearings, orientations, and campus events.
