Job summary

Independent Health in Williamsville, NY is seeking a Proposal Coordinator to prepare accurate responses to RFPs/RFIs and renewal proposals. You will develop content, manage templates, schedules and collaborate with Account Management, Sales, Marketing, Finance and Leadership.

The role requires 3+ years in marketing or project management with RFP experience, excellent writing and editing, and strong organizational skills. This is a hybrid position onsite at Williamsville.

Qualifications

• High school diploma or GED required; Bachelor's degree in Marketing, Journalism, English Writing or Communications preferred.
• Three (3) years of experience in marketing, sales, product management, or comparable project management with RFP experience.
• Excellent writing and editing skills with ability to communicate with all levels of management.
• Knowledge of healthcare, PBM, or health plans strongly preferred; EGWP-PDP or Medicare a plus.
• Exemplary organizational, time management and interpersonal skills with attention to detail; able to work independently.
• Ability to coordinate in a teamwork atmosphere and manage multiple priorities in a fast-paced environment; strong project management skills.
• Proficiency in Microsoft Office Suite (Word, Excel, Adobe); HubSpot CRM a plus.
• Ability to manage the RFP process from start to finish with strict deadlines in a matrixed environment.

Responsibilities

• Coordinate the process to respond to RFP/RFIs with data, responses and feedback from internal departments.
• Create RFP response templates, schedule kick-off meetings, assign responsibilities and timelines; reuse content from past responses.
• Coordinate RFP/RFI report requests and pricing files per customer specs.
• Maintain multiple proposal databases and annual audit processes for all lines of business.
• Maintain CRM to manage opportunities through the sales funnel and capture updates.
• Read and interpret data to support sales/marketing strategy with a unified message.
• Present ideas clearly to management and gather feedback.
• Collect and report monthly product proposal performance data for management review.
