Qualifications

  • Bachelor’s degree or equivalent experience.
  • 5+ years of experience in operations, project management, administration, consulting, or executive support.
  • Exceptional organizational and time-management skills.
  • Strong written and verbal communication abilities.
  • Ability to manage multiple priorities with minimal supervision.
  • High degree of professionalism and confidentiality.
  • Advanced proficiency with Microsoft 365 and collaboration tools.

Responsibilities

  • Strategic Project Leadership: Manage high-priority organizational initiatives from planning through execution; track milestones, deadlines, dependencies, and deliverables; coordinate cross-departmental projects; prepare status reports and identify risks; drive execution on strategic priorities.
  • Executive Support: Manage COO’s commitments; prepare agendas, briefing documents, presentations, and meeting materials; attend meetings and capture action items; draft communications; serve as an extension of the COO.
  • Leadership & Organizational Coordination: Coordinate initiatives between departments; facilitate leadership meetings; improve communication flow; identify bottlenecks and recommend improvements; build systems for efficiency; work with the COO on leadership development.
  • Operational Excellence: Develop and maintain project tracking systems; create dashboards and reporting; document processes and SOPs; monitor priorities; support change management.
  • Administrative Management: Coordinate calendars and major meetings; organize travel and event logistics; maintain confidential files; assist with executive presentations and special projects; handle other administrative responsibilities.

Position Summary

The Strategic Partner to the COO will play a vital role, reporting directly to the COO, ensuring organizational priorities are translated into action. This role combines executive support, project management, cross-functional leadership, communication, and operational excellence to help the COO maximize effectiveness across the organization.

The ideal candidate is highly organized, proactive, emotionally intelligent, and capable of managing multiple complex initiatives while maintaining discretion and professionalism.

Responsibilities
Strategic Project Leadership
  • Manage high-priority organizational initiatives from planning through execution.
  • Track milestones, deadlines, dependencies, and deliverables.
  • Coordinate cross-departmental projects and ensure accountability.
  • Prepare status reports and identify potential risks before they become problems.
  • Drive execution on strategic priorities established by executive leadership.
Executive Support
  • Manage and prioritize the COO’s commitments and follow-up items.
  • Prepare agendas, briefing documents, presentations, and meeting materials.
  • Attend meetings, capture action items, and ensure completion.
  • Draft communications, reports, and executive correspondence.
  • Serve as an extension of the COO when appropriate.
Leadership & Organizational Coordination
  • Coordinate initiatives between departments.
  • Help facilitate leadership meetings and ensure decisions are implemented.
  • Improve communication flow across teams.
  • Identify operational bottlenecks and recommend improvements.
  • Build systems that improve organizational efficiency.
  • Work with the COO to develop leadership development which will include leadership:
    • Resources
    • Toolkits
    • Training
    • Book Reviews
    • Podcast support (scheduling of guests, bio prep, etc.)
Operational Excellence
  • Develop and maintain project tracking systems.
  • Create dashboards and reporting mechanisms for key initiatives.
  • Document processes and standard operating procedures.
  • Monitor organizational priorities and ensure timely follow-through.
  • Support change management initiatives.
Administrative Management
  • Coordinate calendars and major meetings.
  • Organize travel and event logistics when needed.
  • Maintain confidential files and documentation.
  • Assist with executive presentations, and special projects.
  • Handle other administrative responsibilities that free the COO to focus on strategic leadership.
Requirements
Experience/Skills
Required:
  • Bachelor’s degree or equivalent experience.
  • 5+ years of experience in operations, project management, administration, consulting, or executive support.
  • Exceptional organizational and time-management skills.
  • Strong written and verbal communication abilities.
  • Ability to manage multiple priorities with minimal supervision.
  • High degree of professionalism and confidentiality.
  • Advanced proficiency with Microsoft 365 and collaboration tools.
Preferred:
  • Experience supporting C-suite executives.
  • Background in nonprofit or mission-driven organizations.
  • Experience with project management platforms and process improvement.
  • Strong facilitation and meeting management skills.
  • Familiarity with budgeting and operational planning.
