Job summary

University of Illinois Urbana-Champaign is seeking an Office Manager for Planning, Design, and Construction to provide broad administrative support to the Director of Project Delivery and Director of Planning & Design. You will manage calendars, prepare presentations and reports, and help maintain workflow across PDC projects.

The role emphasizes confidentiality, organization, and proactive coordination of meetings, travel, and office operations.

Qualifications

• High school diploma or equivalent.
• Two years (24 months) of work experience comparable to the third level of this series.

Responsibilities

• Provides support for meetings, presentations, and reports including review of group emails and development of presentations, reports, agendas, spreadsheets, and meeting minutes.
• Establishes and revises work calendars for the Director of Project Delivery and Director of Planning & Design.
• Update workflow for PDC employees – maintaining project schedules and numbers for review in report format.
• Coordinate travel and materials for team members as approved by Sr. Director and Directors.
• Assist with maintaining the Project Management Manual (PMM).
• Manage inventory records and coordinate office supply orders.
• Maintain confidential records and files for designated staff.
• Approve timesheets and time off with direction from Directors.
• Perform other related duties as assigned.
