Job summary

Hartman Executive Advisors is seeking a Portfolio Management Analyst to provide strategic and operational support to the CIO across multiple client accounts. This role ensures accurate documentation, coordinates meetings, and tracks KPIs to enable informed decisions and consistent, high-quality service delivery.

You will manage production schedules, support IT Team meetings, update Kantata projects, and develop client-facing materials, while identifying opportunities to grow Hartman's business

Qualifications

• Minimum 3 years of experience, preferably project management background.
• Strong organizational and communication skills.
• Experience with project management tools.
• Ability to manage multiple projects, vendors and stakeholders.
• Familiarity with performance metrics and reporting.
• High attention to detail.
• Ability to work in a fast-paced environment.

Responsibilities

• Monitor and report KPIs and metrics to the CIO on a weekly cadence.
• Maintain project and portfolio forecasts in Kantata.
• Ensure consistent application of Hartman templates and deliverables across accounts.
• Ensure timely and cost-effective project delivery.
• Respond to ad hoc CIO requests, including resource adjustments and KPI reporting.
• Manage and maintain client Production Schedules using Smartsheet.
• Coordinate CIO in recurring IT Team meetings with agenda and notes.
• Represent the Hartman CIO in vendor, stakeholder and team meetings as needed.
• Update Kantata projects for task tracking and KPI accuracy.
• Prepare client-facing deliverables and ensure timely delivery.
• Support team members with scheduling and documentation.
• Escalate discrepancies in KPIs or project scope to CIO.
