Job summary

Proofpoint is seeking an Executive Business Partner to the Chief Legal Officer to act as a strategic partner and support the Legal organization. You will manage strategic priorities, organizational operations, and confidential information with discretion, leveraging AI tools to increase efficiency.

In this role you’ll coordinate the CLO's calendar, prepare presentations, Board materials, and cross-functional communications, while energizing a global Legal team and driving key initiatives forward.

Qualifications

• 10+ years supporting C-level or senior executives, preferably in Legal or Corporate functions.
• Proven excellence in calendar management, scheduling, travel, and meeting support.
• Experience supporting legal operations, business operations, executive administration, or strategic project/program management.
• Experience organizing global team offsites and large-scale team events end to end.
• Experience compiling and incorporating information for team QBRs, KPIs, and Board materials, including building budget forecasts with FP&A.
• Demonstrated success managing complex initiatives in a fast-paced, global environment.
• Advanced MS Office skills (Excel, PowerPoint, Outlook, Teams, SharePoint).
• Experience using AI and automation tools to improve productivity is a plus.

Responsibilities

• Anticipate needs and manage strategic priorities for the CLO.
• Ensure smooth daily functioning of the Legal team and cross-functional alignment.
• Energize team culture through events and rituals for a global Legal organization.
• Collaborate with Legal Operations on planning, budgeting, reporting and process improvements.
• Lead cross-functional projects and strategic initiatives with clear visibility and execution.
• Prepare executive presentations, Board materials, reports, dashboards, and briefing documents.
• Own the CLO's complex calendar and coordinate meetings end to end with follow-up actions.
• Build partnerships across Legal, Finance, HR, IT, and outside counsel.
• Analyze business data to provide insights that support executive decision-making.
• Leverage MS Office and AI-enabled productivity tools to streamline workflows.
• Handle highly confidential information with professionalism and discretion.
