Job summary

The University of Arizona is seeking a State Relations Assistant to support the Office of State Relations and the Scottsdale Center. You will coordinate calendars, draft correspondence, manage travel, and prepare quarterly lobbying reports, while liaising with government officials and internal stakeholders to advance university priorities.

Job description

Position Highlights The State Relations Assistant provides high-level administrative support for the Office of State Relations while assisting the day-to-day operations of the University of Arizona Scottsdale Center. The position will require communication and collaboration with a broad range of campus and university stakeholders, including legislative staff, offices of elected officials, university stakeholders, and team members of university senior leadership team to support the function of the State Relations office. The position is also responsible for compiling and filing quarterly reports, and tracking legislation. Additionally, the position will be responsible for managing travel and financial reimbursements for the Government and Community Relations team operating out of the Scottsdale Center. The ideal candidate should be able to multitask, work independently to meet deadlines, clearly communicate, and have strong organizational skills.

Duties & Responsibilities

  • Administrative Support: Provide administrative support for the Sr. Director of State Relations, including appointment and calendar management, meeting coordination, drafting correspondence, and travel. Maintain confidentiality throughout interactions.
  • Coordinate the quarterly Arizona lobbying reporting process, reviewing information for completeness, and ensuring reporting requirements are met.
  • Provide organization and preparation for meetings and special projects.
  • Collaborate with finance team on travel authorizations, P-Card reimbursements, expense reports, and reimbursement requests and invoice processing for Government and Community Relations staff operating out of the Scottsdale Office.
  • Serve as the first and primary administrative contact for communication and coordination with government officials, lobbyists, and external stakeholders.

Support Event Management

  • Assist with logistical preparations and planning for all State Relations summits, football games, tours, and outreach events with external parties.
  • Sends invitations, reminder emails, and tracks RSVP for key events.
  • Assist with Summer and Fall events hosted at the U of A Scottsdale Center, at the direction of the Sr. Director of State Relations. Collaborate with appropriate university departments to implement event logistics, technical needs, and facility arrangements in coordination with the Executive Director of the U of A Scottsdale Center.
  • Provide on-site support to ensure professional delivery of programs and activities for all assigned events.
  • Assist with special events and projects as needed.

Support Office Operations

  • Responsible for maintaining and updating a comprehensive database of key stakeholders, including government officials, community leaders, and institutional partners for use by GCR and university senior leaders.
  • Leads maintenance of office equipment, organization, and ordering of supplies on behalf of the Scottsdale Office.

Legislation Tracking

  • Monitor and track legislation during the legislative session.

Knowledge, Skills, and Abilities:

  • Knowledge and familiarity with University of Arizona’s mission and strategic priorities.
  • Familiarity with government, business and education stakeholders in Arizona.
  • Excellent written and verbal communications skills.

Minimum Qualifications

  • High school diploma or high school diploma equivalency is required.

  • Experience with Salesforce (Trellis) data management systems.
  • Microsoft suite experience: PowerPoint, Outlook, Excel.
  • Experience supporting organizational leaders
