Job description

Job Summary:

The Staffing Coordinator serves as a liaison between WMC nursing leadership, the nursing operations team, and employees by providing a full complement of staff to meet client core requirements. The coordinator enters and maintains daily, weekly, and monthly schedules in Kronos, validates submitted schedules, and fills schedule gaps as needed to meet client requirements.

Responsibilities:

  1. Account Metrics
  2. Ensure 100% accuracy of employee/unit schedules entered in Kronos, maintaining correctness and balance.
  3. Routine/Day-to-Day Tasks
  4. Acquire pencil schedules and enter them into Kronos according to the established publish date and production timeline.
  5. Enter schedules in Kronos, ensuring all edits are accurately reflected and the information is current.
  6. Maintain core staffing levels and verify schedule-to-assignment confirmations with units.
  7. Communicate effectively with WMC nursing leadership and operations regarding scheduling updates and changes.
  8. Check-in arriving employees, confirm assignments, or reassign as necessary.
  9. Identify schedule gaps and late arrivals, handling call-offs and conflicts by seeking immediate replacements.
  10. Review staffing reports for the next day and take corrective actions to address gaps.
  11. Provide staffing data and reports to leadership and operations.
  12. Identify staffing deficiencies by position, assignment, and shift, and contact suitable employees to fill shifts, following WMC protocols.
  13. Manually enter all shifts accurately and correctly.
  14. Complete necessary pay forms and submit them to payroll.
  15. Validate schedules and submit for final review and publication.
  16. Assist in processing Requests for Time Off (RTO).
  17. Perform other duties as assigned.

Qualifications/Requirements:

  1. Experience: At least 2 years of experience, preferably in a hospital or related industry.
  2. Education: High School Diploma required; BS or BA preferred, or equivalent combination of education and experience.
  3. Licenses / Certifications: [Specify if any]
  4. Skills: Responsible, accountable, proactive, with strong engagement, analytical, organizational, and communication skills. Proficient in Kronos and MS Office (especially Excel). Capable of working effectively in a fast-paced, changing environment while maintaining composure.
