Job summary

Grand Itasca Clinic & Hospital is seeking a Staffing Coordinator to manage hospital nursing and support staff schedules. The role involves daily staffing adjustments in collaboration with nursing leadership, handling time-off requests, and maintaining accurate staffing records.

This is a full-time, 0.8–1.0 FTE position with day/evening shifts and an offsite posting. You will work with nurse managers to ensure adequate coverage, apply union contract language to scheduling, and use

Qualifications

• Proficient in Microsoft Office; Excel competency tested.
• Experience applying union contract language to scheduling decisions.
• Strong verbal and written communication and organizational skills.
• Familiarity with Kronos timekeeping software.

Responsibilities

• Adjusts staffing daily in line with projected needs.
• Manages unanticipated schedule changes (LOAs, transfers, resignations, ill calls).
• Proactively responds to changing staffing needs with problem solving.
• Prepares period schedules for all skill levels per guidelines.
• Processes time-off requests with nurse managers and updates schedules.
• Establishes and updates electronic schedule templates; keeps files current.
• Maintains posting deadlines and prepares daily staffing sheets.
• Develops expertise in staffing software and related tools.
• Keeps attendance records for nursing and support staff.
• Collaborates with nurse managers to identify scheduling improvements.
• Prepares standard and requested reports on staffing and scheduling.
• Maintains scheduling and staffing records.

About the Position

• Staffing Coordinator
• Full-Time: .8-1.0 FTE (64-80 hours per pay period)

JOB SUMMARY:

This position has responsibility for completion of personnel schedules for hospital nursing and nursing support staff. Working with nursing leadership, adjusts staffing on a daily basis according to projected needs. Manage all staff schedule’s including vacation and time off requests.

JOB DUTIES:

Staffing

1. Adjusts staffing daily in accordance with projected needs.
2. Effectively manages unanticipated changes in the schedule (LOAs, transfers, resignations, ill calls, etc.).
3. Reacts proactively to projected changing staffing needs using creative problem solving.

Scheduling

1. Prepares period schedules for all skill levels in accordance with legal, contractual and hospital guidelines.
2. Processes requests for time off working with nurse managers and makes schedule changes as needed.
3. Establishes and updates electronic schedule templates and keeps shared files up to date.
4. Accountable for schedule posting deadlines.
5. Prepares daily staffing sheets.

Other

1. Develops expertise in computer software and programs relevant to staffing and scheduling.
2. Maintains nursing and nursing support staff attendance records.
3. With nurse managers, identifies problems and implements improvements in the scheduling, staffing process.
4. Prepares standard and requested reports.
5. Maintains scheduling, staffing records.

If you have these qualifications, we'd love to chat:

1. Basic computer skills in Microsoft Office (Outlook, Word and Excel). Must pass basic Excel competency test.
2. Previous experience with union contracts and scheduling preferred.
3. Demonstrated ability to apply complex union contract language in scheduling decisions.
4. Excellent verbal and written communication and organizational skills.
5. Ability to learn and use Grand Itasca's time management tracking software, (i.e Kronos).
6. Ability and interest to work in a dynamic, potentially stressful environment.
7. Demonstrated ability to follow and adhere to Grand Itasca Clinic and Hospital policies, vision, mission and values.
8. Maintains reliable and consistent attendance.
9. Arioritizes and problem solves scheduling and daily staffing for each unit to provide adequate staffing coverage.
