Job description

Schedule: Monday through Friday, 40 hrs /week

Pay: $26.63/hr

As a Staffing Coordinator at Recovery Centers of America (RCA), you’ll play a critical role in ensuring safe, efficient, and fiscally responsible staffing across the facility. In this role, you will collaborate closely with nursing leadership, department managers, Human Resources, and executive leadership to develop and manage staff schedules, monitor overtime, and adjust staffing levels in alignment with patient census and budget guidelines. Your ability to balance operational needs with employee engagement will directly support quality patient care and organizational performance.

What You’ll Do

As a Staffing Coordinator at RCA , you will:

  • Create and maintain schedules for all non-exempt employees in ShiftHound , ensuring timely and accurate entry, including new hires following orientation.
  • Collaborate with department directors, nursing leadership, and supervisors to ensure appropriate daily staffing levels based on patient census and the approved staffing grid.
  • Monitor and manage overtime, incremental time, PTO requests, and call-outs to ensure staffing remains within budget guidelines.
  • Complete and analyze daily EPOB reports and time tracking tools, translating staffing data into clear verbal and written reports for the CEO and senior leadership.
  • Adjust staffing plans in response to census changes and assist with cancellations when appropriate , ensuring any variances are approved by the CEO and reflected in daily reporting.
  • Oversee call-off and cancellation processes in accordance with company policy and hold supervisors accountable for after- hours documentation and reporting.
  • Develop professional, collaborative relationships with line staff to understand scheduling needs while maintaining fairness, consistency, and operational effectiveness.
  • Communicate daily staffing updates and expectations to overnight supervisors to ensure continuity of planning and execution.
What We’re Looking For
  • At least six months of experience in a health or human services-related field required; prior supervisory experience in a healthcare or behavioral health setting preferred.
  • Experience with computerized scheduling systems ( ShiftHound or similar platforms preferred).
  • Strong proficiency in Microsoft Office applications, including Word, Excel, PowerPoint, and Outlook.
  • Exceptional organizational skills with the ability to prioritize competing demands in a fast-paced environment.
  • Strong analytical and problem-solving skills, with the ability to interpret staffing metrics and workforce data.
  • Excellent written and verbal communication skills, with the ability to collaborate effectively across departments and leadership levels.
  • Demonstrated ability to influence and work effectively with individuals without direct authority.
