Job summary

Valencia College is seeking a Staff Assistant for the Office for Students with Disabilities (OSD) at the East Campus. This full-time role serves as the first point of contact for students, assisting with registration and office operations to create an accessible experience.

The ideal candidate has strong communication, secretarial experience, familiarity with higher education, and proficiency in Microsoft Office including Outlook and Excel.

Qualifications

  • High school diploma or GED required.
  • Advanced secretarial training.
  • Progressively responsible experience in staff assistance and advanced clerical work.
  • Experience in higher education and/or disability services preferred.

Responsibilities

  • Supports departmental clerical activities and office coordination.
  • Opens, organizes, and screens mail for the supervisor.
  • Answers telephone, screens calls, and takes messages.
  • Types and edits correspondence and reports under supervision.
  • Maintains filing systems and current department files.
  • Manages calendar and travel arrangements for the supervisor.
  • Schedules meetings and reserves boardrooms as directed.
  • Maintains department budget reports and procurement docs.
  • Operates standard office equipment as needed.
  • Performs other related duties as assigned.

Valencia College is excited to welcome a Full-Time Staff Assistant to our passionate and dedicated team in the Office for Students with Disabilities (OSD) at the East Campus. In this student-focused role, you’ll serve as a welcoming first point of contact for students and help create a supportive and accessible experience. You’ll assist students with registration and other forms, support office scheduling and daily operations, respond to phone inquiries, and help coordinate events and outreach activities.

The Ideal Candidate Will Have:

  • Strong written and verbal communication skills
  • Proficiency with Microsoft Office, including Outlook and Excel
  • Experience planning and organizing events, flyers, or other outreach materials
  • Secretarial or administrative experience (preferred)
  • Experience in higher education and/or disability services (preferred)

General Working Conditions

This job primarily operates in a professional office environment. The employee will routinely operate standard office equipment including but not limited to computers, keyboards, mouse, phones, photocopiers, printers, scanners, filing cabinets and fax machines. While performing the duties of this job, the noise level in the work environment is usually quiet to moderate.

Typical physical competencies include but are not limited to frequently remaining stationary, moving, reaching, positioning self and occasionally ascending/descending, lifting/moving objects weighing between 5-15 pounds. This job also entails frequently communicating, discerning and exchanging information, detecting and perceiving objects up close, at a distance, and the ability to adjust focus. Cognitive abilities include but are not limited to frequently using discretion, judgment, reasoning, memory, learning, maintaining confidentiality, comprehension, problem solving, and decision-making.
