The position supports cross-functional billing and reporting, with emphasis on timely payments and accurate accounting for nonprofit grants. Flexible location, primarily Boston area, with options for remote or hybrid work.

Qualifications

  • 3–5 years of accounts payable experience in a fast-paced organization.
  • Experience working on federal grants.
  • Proficient in Microsoft Excel, Word, and database applications; familiarity with NetSuite is helpful.
  • Experience working with nonprofit organizations or in cost accounting.
  • Knowledge of general accounting principles and practices.
  • Strong organizational, analytical, and problem-solving skills.
  • Strong written and verbal communication skills.

Responsibilities

  • Review vendor invoices for grant terms and internal requirements.
  • Enter invoices into NetSuite with supporting documentation.
  • Process accounts payable invoices within policy and timelines.
  • Process weekly check runs for timely vendor payments.
  • Resolve payment issues and respond to vendor inquiries.
  • Monitor the AP email inbox and respond to questions.
  • Submit online payments via vendor portals and record in accounting system.
  • Process NetSuite journal entries as needed.

About thePosition

The Staff Accountant, Special Projectsis responsible forprocessing special project invoices and supporting compliant,timelyaccounts payable operations for Jobs for the Future (JFF). This role partners across program, grant, and accounting teams to manage vendor payments,maintainstrong documentation, and support grant-related financial processes.

WhatYou'llDo
Accounts Payable and Invoice Processing
  • Review vendor invoices to ensure compliance with grant terms and internal requirements.
  • Enter invoices into NetSuite and confirm that complete supporting documentation is attached.
  • Process adequately documented accounts payable invoices in accordance with JFF policies and established timelines.
  • Process weekly check runs to support timely vendor payments.
  • Resolve payment issues and respond to vendor inquiries as needed.
  • Monitor the accounts payable email inbox and respond to questions from JFF staff and vendors.
  • Work within vendor portals to submit online payments and ensure timely recording in the accounting system.
  • Process journal entries in NetSuite as needed, including entries related to online payments.
Vendor and Contract Management
  • Maintain current vendor information on file, including W-9 documentation and ACH payment details.
  • Build and manage strong relationships with internal staff and external vendors to provide excellent customer service.
  • Update vendor contract information and track remaining payments against approved agreements.
  • Process Forms 1099 for all eligible vendors.
Cross-Functional and Grant Support
  • Partner with program staff and the Grant Management team to obtain invoice approvals for payment.
  • Coordinate information sharing between JFF and the Prime organization, including regular payment reporting.
  • Collaborate with the Director of AP & AR to support cash requests from Prime and drawdowns from the payment management system with appropriate reviews and approvals.
  • Partner with Contracts and Grant Stewards teams to ensure procurement policies are followed.

The hiring range for this rol e is $68,000- $85,000 annually, in alignment to JFF managers salary and our compensation philosophy. Starting salaries for new hires will be determined based on a combination of the new hires relevant experience and market demands.
