Job summary

Paradigm Senior Services is seeking a detail-oriented Staff Accountant to own payroll, tax compliance, and client accounts receivable in a North Miami hybrid office. You will process payroll, file taxes, reconcile accounts, review executive expenses, and manage client collections across multiple states.

This role requires 2–3 years of related experience, strong Excel skills, and familiarity with ADP or Rippling.

Qualifications

  • Multi-state tax and payroll filing experience.
  • 2-3 years hands-on experience in payroll tax returns, payroll processing and reconciliations, executive expense review, and client collections.
  • Strong attention to detail with a track record of meeting deadlines.
  • Discretion with confidential payroll and executive financial information.
  • Proficiency with Excel and common accounting/payroll systems.
  • Experience with payroll platforms (ADP, Rippling) and expense management tools.
  • Exposure to healthcare, home care, or service-based industries.

Responsibilities

  • Prepare and file sales tax and payroll tax returns across multiple states.
  • Run end-to-end payroll cycles: process payroll, validate hours/earnings, reconcile payroll registers to the GL.
  • Reconcile payroll-related accounts and resolve discrepancies.
  • Review executive expense reports for accuracy, policy compliance, and documentation.
  • Own client collections: monitor aging, contact past-due balances, negotiate payment timelines.
  • Respond to tax notices and coordinate with state/local agencies to resolve payroll and sales tax matters.
  • Review expenses against policy and coach leaders on overspending.
  • Support creation and fidelity of departmental budgets, including card limit appropriations.
  • Identify and recommend payroll, tax, and collections process improvements as we scale.

Position Snapshot

We're looking for a detail-oriented Staff Accountant to own a hands-on mix of payroll, tax compliance, and client accounts receivable work. You'll process and reconcile payroll, prepare sales and payroll tax returns (multi-state a plus), review executive expenses, and drive client collections. This role suits an early-career accountant who is organized, deadline-driven, and comfortable working across teams.

This is a hybrid position based in our North Miami office, onsite Monday, Wednesday, and Friday each week.

Core Responsibilities
  • Prepare and file sales tax and payroll tax returns accurately and on time, including registrations and filings across multiple states
  • Run end-to-end payroll cycles: process payroll, validate hours and earnings, and reconcile payroll registers to the general ledger
  • Reconcile payroll-related accounts (wages, taxes, withholdings, and benefits) and resolve discrepancies promptly
  • Review executive expense reports for accuracy, policy compliance, and proper documentation, and route them for approval
  • Own client collections: monitor accounts receivable aging, contact clients on past-due balances, negotiate payment timelines, and escalated as needed
  • Respond to tax notices and coordinate with state and local agencies to resolve payroll and sales tax matters
  • Review expenses against policy for the company, contact stakeholders for out-of-policy transactions, and coach leaders on staff expense oversight
  • Support the creation and fidelity of departmental and team budgets, including but not limited to card limit appropriation/reduction
  • Identify and recommend improvements to payroll, tax, and collections processes as we scale
Experience and Skills
  • Multi-state sales and payroll tax filing experience
  • 2-3 years of hands-on experience in each of the following: sales and payroll tax returns, running and reconciling payroll, executive expense review and approval, and client collections
  • Strong attention to detail and a track record of meeting hard filing and payroll deadlines
  • Discretion with confidential payroll and executive financial information
  • Proficiency with Excel and common accounting/payroll systems
  • Experience with payroll platforms (e.g., ADP, Rippling, etc.) and expense management tools
  • Exposure to healthcare, home care, or other service-based industries
Education and Qualifications
  • Bachelor's degree in Accounting, Finance, or a related field or other related field preferred, or equivalent professional experience

Compensation
