Job summary

Brigham and Women's Hospital, Inc. in Boston seeks an experienced administrative support professional to help ensure outpatient clinics and surgical services run smoothly across multiple locations in Boston and southern Massachusetts.

Qualifications

  • High School Diploma or equivalent required.
  • Experience: 3–5 years office experience preferred.
  • Strong technology and MS Office skills — Advanced Outlook, Word, Excel, PowerPoint.
  • Ability to manage phone calls, communications, and document handling effectively.
  • Excellent written and verbal communication; ability to edit and proofread documents.

Responsibilities

  • Schedule and coordinate patient appointments across outpatient clinics and surgical services.
  • Support providers with scheduling and documentation; manage communications between patients and clinical teams.
  • Process patient billing forms and scan documents to the patient medical record (EPIC).
  • Serve as Super User for scheduling, registration, and billing systems and assist others.
  • Handle prior authorizations, prescriptions, test results, and routine inquiries as needed.

In this administrative support role, you would help ensure that our busy outpatient clinics and surgical services run smoothly across multiple locations in Boston and southeastern Massachusetts.Your responsibilities would include coordinating patient appointments, supporting providers with scheduling and documentation, managing communication between patients and clinical teams, and helping maintain an organized, efficient workflow. You would play a key part in creating a positive, seamless experience for patients as they move through their care.SummaryPerforms administrative functions to support smooth and efficient clinical service and practice operations.Performs administrative duties related to patient visits including scheduling, check-in, check-out duties (performs all duties of the other levels at highest proficiency level).Make patient appointments and maintain appointment records.Assist callers with routine inquiries and triage matters appropriately.Process patient billing forms and scan documents to patient medical record (EPIC).Acts as "Super User" for scheduling, registration and billing systems.
