Job description

The Payroll Specialist's primary tasks include collecting, testing, analyzing, organizing, editing, and storing payroll-related data to ensure data integrity and maintain formal processes with adequate checks and balances.


Specific Accountability:
  1. Generate daily payroll reports using SAP/ADP Payroll Software and Kronos Time and Attendance software, confirming accurate time capture, pay, and allocation of dollars paid.
  2. Prepare and maintain payroll documentation, data standards, and procedures.
  3. Perform daily audits of time, attendance, and payroll system input and output.
  4. Run payroll simulations and previews.
  5. Assist with payroll close, off-cycle on-demand payrolls, reconciliation of weekly payroll files, and year-end W-2 processing.
  6. Support month-end close processes related to payroll journal entries and reconciliations.
  7. Create hyper finds in time and attendance systems to review payroll accuracy.
  8. Prepare, collect, deposit, and monitor overpayments.
  9. Support and train payroll staff on current and new payroll systems.
  10. Prepare test scripts, perform testing, and record results for system changes, ensuring accuracy in payroll processing.
  11. Audit manual checks for correct calculations, input, and outputs, including data entry for positive pay, payroll adjustments, and other transactions.
  12. Ensure accurate pay recording and distribution of reports to end users, and assist them in understanding system content and proper application use.
  13. Supervise a staff of four indirectly.
  14. Work on special projects as assigned.
Experience:
  • AAS degree with a minimum of 3 years payroll experience preferred.
  • Strong technical and communication skills.
  • Advanced Excel skills.
  • Experience with SAP HCM, ADP Payforce, and Kronos Time and Attendance systems; proficiency in Microsoft Office applications.
  • Ability to supervise staff in data entry, transfer, and maintenance.
  • Flexibility to work beyond scheduled hours during payroll close, holidays, audits, and special projects.
