Job description

Job Description: Senior Payroll Specialist

Reports To: Corporate Controller

Summary: Under the supervision of the SVP of Finance, the Accounts Payable / Payroll Coordinator processes accounts payable invoices and bi-weekly payroll.

Essential Duties and Responsibilities:

  1. Process data entry for multi-state payroll under strict deadlines, ensuring compliance with all state and federal laws.
  2. Process multi-state bi-weekly payroll for 8+ entities, totaling more than 350 employees and 1099 workers.
  3. Manage state and local agency registrations.
  4. Create and audit payroll inputs (hours worked, bonuses, deductions, time-off, etc.) for accuracy and policy compliance.
  5. Prepare month-end reconciliations and reports according to department policies and procedures.
  6. Assist in ensuring payroll tax authorities are correctly set up and payments are made through the payroll software.
  7. Support annual reporting processes.
  8. Identify and implement continuous process improvements.
  9. Provide superior customer service to internal and external customers.
  10. Maintain confidentiality when handling sensitive information.

Qualifications:

  • Ability to read and interpret compliance and safety documents, manuals, reports, and correspondence.
  • Basic math skills; ability to work with percentages, ratios, and calculations.
  • Problem-solving skills; interpret instructions in written or oral form.
  • Intermediate knowledge of payroll software, Microsoft Office, and internet applications.

Education and Experience:

  • Associates degree in Accounting, Finance, HR, or related field (or equivalent work experience).
  • 5+ years payroll experience.
  • Strong organizational, customer service, and attention to detail skills.
  • Proficiency in Microsoft Excel, Google Suite; familiarity with Sage Intacct and Rippling preferred.

Physical Demands:

Must be able to travel to client facilities as needed. Frequently required to stand, walk, sit, type, reach, and lift up to 40 pounds.

Compensation & Benefits:

Salary: $65,000 - $70,000
