Sr Executive Assistant - Quality
What you will do
Let's do this. Let's change the world! In this vital role you will provide professional and administrative support to a Vice President or above. Work assignments are complex in nature, where considerable tact, judgment, creativity and initiative are required in resolving problems.
- Organize workflow by reviewing, prioritizing, and distributing correspondence to ensure the executive's attention is focused on critical matters.
- Screen and direct incoming calls, correspondence, and visitors, exercising discretion and sound judgment.
- Respond to routine inquiries and provide information independently, allowing the executive to focus on strategic priorities.
- Maintain organized filing systems and ensure the timely establishment, maintenance, and retrieval of records, correspondence, and confidential information.
- Prepare, format, and maintain reports, presentations, charts, graphs, and other business documents.
- Compose, edit, proofread, and distribute correspondence and communications on behalf of the executive.
- Manage complex calendars, schedule appointments, coordinate meetings, and ensure the executive and leadership team is prepared to meet all commitments and deadlines.
- Coordinate domestic and international travel arrangements, including itineraries, accommodations, and related logistics.
- Prepare expense reports.
- Gather, compile, analyze, and organize information from multiple sources for inclusion in reports, presentations, and special projects.
- Conduct independent research and prepare information, summaries, and recommendations to support business initiatives and decision-making.
- Interpret and communicate company policies and procedures, escalating issues that require executive review, approval, or intervention.
- Serve as a key liaison between the executive and internal or external stakeholders, facilitating effective communication and follow-up.
- Attend meetings and conferences assigned, prepare agendas, document discussions, take meeting minutes, and track action items.
- Monitor the progress of assignments and initiatives, ensuring timely follow-up and completion of deliverables.
- Distribute workload and provide guidance, training, and feedback to administrative and support staff as appropriate.
- Handle sensitive and confidential information with the highest level of professionalism, discretion, and integrity.
- Support special projects and other administrative or operational activities as assigned to meet business objectives.
- Conduct procurement of office supplies for the Quality Organization.

Basic Qualifications
- Associate's degree & 4 years of administrative support experience
- High school diploma & 6 years of administrative support experience
Preferred Qualifications
- Bachelor's degree in Business Administration, Communications, or a related field.
- Proven experience as Administrative or Executive Coordinator in a regulated corporate environment.
- Fully bilingual (English and Spanish) with excellent verbal and written communication skills.
- Advanced proficiency in Microsoft Office Suite, including Outlook, Word, Excel, PowerPoint, and Teams, as well as the ability to quickly learn and effectively utilize other business and technology applications.
- Demonstrated ability to manage multiple priorities, coordinate complex calendars and travel arrangements, and meet competing deadlines with minimal supervision.
- Strong organizational, problem-solving, and interpersonal skills, with the ability to exercise sound judgment and maintain confidentiality.
- Experience preparing reports, presentations, meeting minutes, and executive-level communications.
