The Sr. Executive Assistant provides comprehensive administrative support to the President and CEO of Group Benefits and the Chief Financial Officer. This role is instrumental in ensuring the efficient operation of the executive office. It requires a proactive, detail-oriented individual who can handle various administrative tasks with discretion, confidentiality and professionalism.
Key Responsibilities:
- Proactively maintains complex calendar scheduling to ensure efficiency and optimal use of the executive's schedule; discusses, prioritizes, and reviews calendar and events with the executives to assure timely and appropriate coordination of activities, meetings, and project status.
- Serves as the primary point of contact for internal and external contacts, filtering information, and responding on the executive’s behalf, as appropriate.
- Demonstrates initiative, discretion, and tact in managing email, telephone calls, and other requests. Ensures all correspondence is accurate, complete, and properly handled.
- Prepares communication and correspondence on behalf of the executives, including but not limited to phone calls, letters, emails, and memos.
- Supports meeting preparation as necessary, prepares reports and presentations using available desktop publishing, graphics, spreadsheet, presentation, and word processing software.
- Arranges complex domestic and international travel, including travel plans, itineraries, transportation, and lodging.
- Assists in coordinating senior leadership team meetings and off-sites. Creates meeting schedules and agendas, communicates with attendees to ensure preparedness, and takes notes where necessary.
- Performs various related support tasks as necessary; attends to administrative details on special matters assigned by the executives.
- Troubleshoots issues and concerns as needed.
- Prepares and submits expense reports, ensuring compliance with company policies.
- Other duties as assigned.
Required Knowledge, Skills, Abilities and/or Related Experience
- High School Diploma or equivalent is required; advanced degree preferred.
- Minimum of ten years' experience supporting senior-level management in an administrative capacity.
- Ability to manage multiple tasks and priorities, maintaining a high level of accuracy.
- Possess exceptional communication and organizational skills and performs work with a high level of accuracy and attention to detail.
- Comfortable interfacing with all levels of Executive Management; experience interfacing with Board of Directors is a plus.
- Ability to anticipate needs based on outcomes of prior meetings, presentations, and emerging circumstances.
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and meeting technology such as Microsoft Teams and WebEx.
- Ability to handle confidential and sensitive information with the utmost discretion.
Ability to Travel: Up to 10%
The expected hiring range for this position is $87,640.00 - $116,990.00 annually for work performed in the primary location (Philadelphia, PA). This expected hiring range covers only base pay and excludes any other compensation components such as commissions or incentive awards. The successful candidate’s starting base pay will be based on several factors including work location, job-related skills, experience, qualifications, and market conditions. These ranges may be modified in the future.
