UT Southwestern Medical Center is seeking a moderately experienced administrative assistant to support a department and serve as the primary front desk contact for the VIR clinical division. The position requires a High School Diploma and about 4 years of related experience, with duties spanning records, budgeting, purchasing, and cross-department coordination.

Works under direction to assist with management of moderately complex administrative and/or business functions of department, division, or unit.
This position serves as the primary point of contact for the VIR clinical division and is responsible for providing front desk reception and administrative support to divisional leadership. This role ensures a professional, welcoming environment for visitors, faculty, staff, and guests while supporting the daily operational needs of the division
Primary responsibilities include managing front desk operations, greeting and assisting visitors, answering and directing phone calls, monitoring shared inboxes, handling incoming and outgoing correspondence, maintaining office organization, and supporting general administrative workflows.
Administrative support responsibilities include calendar and meeting coordination, scheduling conference rooms, preparing presentations and meeting materials, documenting meeting minutes, tracking follow-up actions, coordinating catering and event logistics, and assisting with departmental communications.
Additional duties include processing travel arrangements and reimbursements, coordinating on-boarding activities for new faculty, maintaining office and break room supplies, and assisting with invoice and purchasing processes.
Will work closely with divisional leadership and administrative teams to ensure efficient office operations, excellent customer service, and timely completion of tasks while maintaining confidentiality and professionalism in all interactions.
