Description

Our Financial Services customer out of Minneapolis, MN is seeking an Executive Assistant to support three Executives. This is a 6 months contract to hire. It's open due to a resignation with a three week notice. This is going to move very quickly.

Supporting 3 Executives – 1 Chief Transformation Officer 2 - COO 3 - Legal Executive

This role will provide exposure to executive teams and topics. Majority of the day is calendaring. A large portion of the role is in Outlook. Can’t get bored with calendar management, critical. Moved Travel and Expense offshore. Meeting management. Office supply management. ++ Strategic Executive Calendar Management. Looking for someone cool under pressure. Last minute changes are the normal. Need someone to be available and flexible if there’s responses or notes that come after hours. Not regular but open.

What You Do, Day To Day

  • Be responsible for the day-to-day assistance of multiple company leaders as well as provide general departmental assistance as needed
  • Assist with calendar management and travel arrangements for leadership (transportation, hotels, meals, etc.)
  • Coordinate and prepare for meetings with visitors (building access, conference room booking, room setup, meal orders, reservations, greeting visitors in the lobby, etc.)
  • Liaise with other administrative assistants globally as needed to organize and prepare for leadership visits, onsites/offsites, conferences, and other events
  • Coordinate team events and meetings
  • Plan, control, and monitor the agendas and the attendees of key meetings
  • Support the onboarding of new hires in coordination with Leaders as well as HR and IT
  • Maintain office supplies


What you bring

  • University degree preferred or equivalent experience
  • Minimum of two years of administrative experience, preferably in technology or insurance
  • Proficiency in Microsoft Office Suite
  • Team player mentality
  • Strong organizational skills; ability to manage various processes and controls
  • Ability to handle and assess competing or changing priorities
  • High assertiveness and the ability to work under pressure while staying organized
  • Communication, facilitation, sales, and conflict management abilities
  • Willingness to occasionally work outside of standard operating hours

The pay range for this position is $25.00 - $30.00/hr.
