Job summary

Vanderbilt Health’s Office of Sponsored Programs seeks a detail-oriented financial management specialist to support post-award activities for a large portfolio of research awards. You will work in a fast-paced, collaborative environment ensuring accurate accounting and timely reporting for sponsored funds.

The role requires strong knowledge of federal regulations and hands-on experience with Workday and related grants systems.

Qualifications

• Proficient with common software packages (Word, Excel, PowerPoint, Adobe, email)
• Extensive knowledge of federal regulations governing sponsored research (Uniform Guidance)
• Must be organized and analytical
• Excellent written and oral communication skills are critical
• Demonstrated ability to work both as a team member and independently
• Ability to manage multiple deadlines and competing priorities
• Strong understanding of research administration systems (Workday, Coeus, PEER, DISCOVRe)

Responsibilities

• Manages complex and time-sensitive accounting/financial activities with subject-matter expertise and reporting to stakeholders.
• Manages daily fiscal responsibilities of research awards and sponsored funds within an assigned portfolio, including post-award processes (effort reporting, financial reporting, close-outs).
• Collaborates with central office teams to review, create, and optimize Workday financial reports; assists with budgets and grant closeouts.
• Oversees compliance and risk management activities for an assigned portfolio and adherence to policies.
• Coordinates multiple priorities under tight deadlines and supports periodic reporting requirements for awards.
• Communicates proactively with PIs to ensure accurate fiscal management and reporting as detailed in awards.
• Ensures adherence to institutional policies and federal regulations (foreign travel, export controls, subaward monitoring, IRB, IACUC, IT, procurement).
• Collaborates with faculty and staff across units to provide updated information on financial management of an assigned portfolio.
