Job summary

Tarrant County College is seeking a Specialist III, Business Services to support student accounts and lead a team of part-time staff at the Northwest Campus. You will conduct required training and work with the Manager to maintain office operations in the absence of the manager.

The role emphasizes customer service, accurate cash handling, and collaboration with other departments. Regular schedules cover Monday–Thursday and Friday hours, with some weekends during peak registration periods.

Qualifications

  • Associates Degree or 60 college hours as the minimum education requirement.
  • Three (3) years of experience in tasks related to Essential Performance Requirements; or an equivalent mix of education and experience.
  • Bachelor’s degree preferred and relevant customer service experience in higher education is a plus.
  • Experience with Microsoft 365 apps (Excel, Word, Outlook) is desirable.

Responsibilities

  • Train new hires and provide refresher training for the Business Services Department; maintain procedures manuals.
  • Assist the Manager of Business Services as a subject matter expert for student accounts and office operations.
  • Manage day-to-day work of part-time staff ensuring accuracy, timeliness, and adherence to processes.
  • Participate in special projects and presentations; support cross-department collaboration.
  • Contribute to customer service for students, faculty, and staff in person, by phone, email, or live chat.
  • Process payments, cash handling, deposits, petty cash, and payroll-related tasks; stock office supplies.
  • Coordinate with BankMobile support and handle third‑party sponsorships and veteran tuition allocations.
  • Verify and post financial transactions; manage refunds and balances; prepare invoices and reports.

Work Hours: Varies based on department needs. Hours ofoperation are Monday - Thursday 8:00am - 7:00pm and Friday 8:00am -5:00pm. Weekends during peak registration.

Job Summary

This role assists with student account issues in the Manager'sabsence, serves in a lead compacity to part-time team members, andconducts required and recommended training sessions in relation toBusiness Services daily duties.

Primary Duties and Responsibilities
Essential Performance Requirements*
  • Conducts new hire and refresher training sessions for theBusiness Services Department; responsible for maintaining BusinessServices Procedures Manual
  • Assists the Manager of Business Services as a subject matterexpert in managing student accounts and works in conjunction withthe Manager in maintaining office operations; handles decisionsregarding student account issues in the Manager's absence
  • Manages the day-to-day work of part-time team members, ensuringaccuracy, timeliness, and adherence to Business Services processesand procedures
  • Participates in special projects and presentations
  • Fosters relationships with other core internal departments andattends meetings representing Business Services
  • Performs customer service duties, such as assisting students,faculty, and staff in person, by telephone, email, or live chat andmaintaining the 1098T hotline
  • Processes payments, balances cash drawers, prepares bank andmiscellaneous deposits, processes petty cash, and distributespaychecks; orders and stocks office supplies
  • Manages all BankMobile customer service-related issues
  • Processes and invoices third-party sponsorships for studentaccounts and corporate services; processes payments and maintainsrecords
  • Ensures accurate allocation of military tuition benefits tostudent accounts and return of funds to Veterans Affairs
  • Corresponds with payment plan company and collection agencies tomaintain current and past tuition and miscellaneous accounts
  • Verifies and posts details of business transactions, such asreturned payments; analyzes and processes student account balancesand refunds
  • Prepares vouchers, invoices, account statements, requisitions,reports, spreadsheets, generated 1098T forms, and otherrecords
  • Maintains lost and found items, handles vending machine serviceissues and refunds, and manages campus key inventory; distributesand receives keys from faculty, staff, and administrators
  • Works opening and closing shifts, depending on operationalneeds
Service Excellence
  • Participates on behalf of the College in external communityorganizations and associations as assigned to support the essentialperformance requirements
  • Attends the workplace regularly, reports to work punctually, andfollows a work schedule to keep up with the demands of theworksite
  • Completes all required training and professional development sessions sponsored through Tarrant County College (TCC)
  • Supports the mission, values, goals, and principles of theCollege

Required Minimum Qualifications
  • Associates Degree or 60 college hours

Preferred Qualifications
  • Bachelor’s degree
  • At least one (1) year’s working experience working in customerservice, preferably in a higher education setting
  • At least one (1) year’s working experience working with largeamounts of cash and financial transactions
  • At least one (1) year's working experience working in a collegeor university setting related to the Essential PerformanceRequirements
  • At least one (1) year's working experience using Microsoft 365applications, including Excel (spreadsheet creation, formulas, dataentry), Word, and Outlook (professional email communication,calendar management, meeting coordination)
Knowledge, Skills and Abilities
  • Knowledge of proper cash handling and financial record-keepingtechniques, ensuring secure, accurate, and timely processes
  • Skilled in excellent customer service and interpersonalrelationships including strong listening, verbal, and writtencommunication
  • Skilled in computer applications and enterprise systems,including the Microsoft Office suite
  • Ability to collect and analyze data so as to make decisions orprovide sound recommendations based on policy, procedure, practice,and existing regulation while exhibiting strong attention to detailand organization
  • Ability to work effectively in a collaborative environment eitherindividually or as part of a team
  • Ability to think critically to effectively solve and communicateproblems in a fast-paced environment where the demands for work arevaried, and unpredictable in scope and volume
