Under limited supervision, the Specialist, Admissions & Registration is responsible for collecting, reviewing, and assessing applications, transcripts, and related documents for admission eligibility; managing and expediting files; and ensuring accurate progression of completed files throughout the admission process.
Responsibilities
- Review, verify, and assess admissions applications and supporting documents in accordance with established guidelines (15% of time).
- Review applications and transcripts to determine current eligibility, initiate, code, and process applications, and verify residency classification (25% of time).
- Create and maintain manual and computerized records; establish and maintain logs, filing, and record‑keeping systems to keep all records accurate and up‑to‑date (5% of time).
- Perform data entry and maintain various computer databases; analyze and calculate data for recurring internal reports (5% of time).
- Respond to inquiries and investigate/resolves problems related to transactions handled by the department; provide advice and guidance via telephone and in person on application of admissions policies and procedures (10% of time).
- Serve as a liaison with other departments and operating units to resolve day‑to‑day administrative and operational problems (5% of time).
- Compose, prepare, or ensure timely responses to a variety of written requests; prepare documents and routine correspondence as required (15% of time).
- Process functions related to the processing and completion of petitions for refund for Central and WHC campuses (10% of time).
- Provide administrative support, including expediting and coordinating incoming and outgoing documentation relative to admissions policy and procedural issues (5% of time).
- Assist with a limited supervision of student workers, including training (5% of time).
- Perform other related duties as assigned (5% of time).
Qualifications
- Minimum education: Associate’s Degree required, or equivalent combination of education and experience.
- Minimum experience: 3–5 years relevant experience within the field or closely related field.
- Strong knowledge and understanding of admissions and registration processes, related concepts, and principles of related functions.
- Ability to manage own work to meet performance standards, participate as an active team member, and lead a group of employees.
- Intermediate to advanced knowledge of computer systems, including Microsoft Office Products and specialized admission systems.
- Effective communication skills with employees and student populations.
