Responsibilities

  • Coordinate communications and taskings for CAFS, CGFS, and DoS stakeholders.
  • Direct flow of taskers and information between offices and agencies.
  • Process clearance requests with Team Leads and Division Chiefs.
  • Plan and manage CAFS schedule; coordinate meetings and briefing materials.
  • Prioritize conflicting needs and drive tasks to completion under deadlines.
  • Support the principal's leadership with proactive, hands-on tasks.
  • Monitor internal and external tasks, deadlines, and deliverables with assistants.
  • Read memos and determine significance for distribution.
  • Ensure timely information flow between CGFS, CAFS, and DoS offices.
  • Provide training on office policies and procedures.
  • Manage CAFS Time & Attendance submissions biweekly.
  • Perform general office management duties.
  • Maintain SharePoint and Teams information sites.

Job description

The MIL Corporation is seeking a Special Assistant (Project Analysis, Analyst) to support a Federal government client in Washington, DC.

This position currently requires an on-site schedule. Schedule is subject to change based on company/contract requirements.

Responsibilities
  • Function as a Special Assistant providing coordination, quality control, and process flow management for communications and taskings from and to CAFS and among its constituent divisions.
  • Respond to and direct the flow of taskers and information between CGFS, CAFS, and other CA and Department of State stakeholders, as well as other federal agencies, and coordinating, tracking, and contributing to tasks within the office.
  • Process incoming clearance requests by coordinating with Team Leads and Division Chiefs to identify equities and task out according to portfolio coverage.
  • Plan, coordinate, and ensure CAFS’s schedule is strategically managed and followed; including managing meeting and appointment invitations against recurring meetings; and ensuring required briefing materials, meeting minutes and notes, and other meeting‑related materials are promptly processed.
  • Prioritize conflicting needs; handle matters expeditiously and proactively; and follow projects through to successful completion, often with deadline pressures.
  • Successfully complete critical tasks with a proactive, hands‑on approach, and support tasks that facilitate the principal’s ability to effectively lead the office.
  • Work with CGFS’s Staff Assistants and Executive Assistant to monitor internal and external tasks, deadlines, and deliverables.
  • Read and analyze incoming memos, submissions, and reports in order to determine their significance and plan their distribution.
  • Ensure a seamless and timely flow of information, policy guidance, and advice between CGFS, CAFS, and other Department of State Offices and Directorates.
  • Provide training and support to CAFS colleagues regarding office policies and procedures.
  • Manage and complete the CAFS Time & Attendance submission process on a biweekly basis.
  • Perform office management duties as assigned by the CAFS Management team.
  • Maintain and update information sharing sites to include SharePoint and Teams.

Required Qualifications
  • 3+ years of professional experience
  • 1-3 years of experience as a management consultant or high-level executive assistant.
  • Strong interpersonal skills with a demonstrated ability to interact effectively with colleagues and personnel at various Department levels.
  • Expert communication skills with the ability to communicate complex topics effectively and in a clear and concise manner.
  • Strong analytical skills, especially toward evaluating efficiency and effectiveness of program operations.
  • Demonstrated proactive approach to problem-solving with strong decision‑making capability.
  • Ability to plan, schedule, and conduct projects and studies to evaluate and recommend ways to improve the effectiveness and efficiency of work operations in a program or support setting.
  • Demonstrated ability to achieve high‑performance goals and meet deadlines in a fast‑paced environment.
  • Forward‑looking thinker, who actively seeks opportunities and proposes solutions.
  • Highly resourceful team‑player, with the ability to also be effective independently.
  • Excellent judgment and discretion.
Desired Qualifications
  • Previous experience with or knowledge of Department of State operations, especially Consular Affairs.
  • Previous experience with a federal agency's document clearance process.
Compensation

For this position, the projected compensation range is $95,000 - $111,000 per year. This estimate represents the typical salary range and is just one part of MIL’s complete compensation package. Final salary for this position is determined based on factors such as individual qualifications, education, experience, and contractual limitations.
