Dow Jones is seeking a highly organized Speaker & Programming Coordinator to support Barron’s Wealth & Asset Management events. You will manage speaker coordination from confirmation through onsite execution and post-event follow-up, while drafting program materials and ensuring timely delivery.

You will work with senior advisors and internal teams, coordinating timelines, travel, and AV needs across multiple events in a fast-paced environment.

Qualifications

• Bachelor’s degree with 0–2 years in event programming or related field.
• Excellent organization, detail-orientation, and ability to manage many speakers and deadlines.
• Strong writing, editing, research, and critical-thinking skills.
• Proactive, anticipate needs and move logistics forward with minimal oversight.
• Good judgment in handling logistics and content decisions with Senior Director.
• Collaborative, team-oriented, able to work across departments.
• Interest in financial services, wealth management, or technology; relevant experience preferred.
• Comfort with technology and PM platforms; experience with Google Docs/Sheets, Cvent, HubSpot is a plus.
• Willingness to travel throughout the year.

Responsibilities

• Manage speaker coordination from confirmation through post-event follow-up, including communications, scheduling, deliverables, contracts, travel, AV.
• Proactively manage speaker timelines across multiple events; track details and follow up.
• Coordinate the Senior Director’s speaker and moderator calls: scheduling, agendas, materials, reminders, notes, follow-up.
• Maintain accurate speaker records, program documents, databases, contracts, and planning systems.
• Research speakers or topics and compile background for review.
• Review proposals, presentations, and materials for completeness and needs; flag questions.
• Draft and edit session descriptions, speaker briefs, moderator questions, and other materials.
• Work with production, editorial, sales, marketing and internal teams to meet speaker/program requirements.
• Provide onsite program support: speaker check-in, mic/AV coordination, session readiness, troubleshooting.
• Manage assigned speaker operations independently; refer substantive content decisions to the Senior Director.
