About the Role
Barron's Wealth & Asset Management Events
The Speaker & Programming Coordinator supports the Senior Director of Programming in the development and execution of Barron's Wealth & Asset Management events, with primary responsibility for coordinating the speaker experience from confirmation through onsite execution and post-event follow-up. Speaker and program operations are the foundation of this role, complemented by content-support responsibilities such as research, drafting, editing, and preparation of program materials.
We are looking for a highly organized, proactive professional with exceptional follow-through, strong writing and research skills, and the judgment to work confidently with senior financial advisors, executives, and other high-profile speakers. The ideal candidate thrives in a fast-paced environment, can independently coordinate a large volume of speaker details across multiple events, and understands the distinction between responsibilities they own independently and programming or content decisions that require alignment and approval.
You Will:
- Manage speaker coordination from confirmation through post-event follow-up, including communications, scheduling, deliverables, contracts, travel, AV requirements, special requests, and onsite support.
- Proactively manage speaker timelines and deadlines across multiple events, accurately track details, and follow up without prompting.
- Coordinate the Senior Director's speaker and moderator calls, including scheduling, calendar invitations, agendas, background materials, reminders, notes, and follow-up.
- Maintain accurate speaker records, program documents, databases, contracts, and planning systems.
- Research speakers or topics assigned by the Senior Director and compile factual background for her review.
- Review speaker proposals, presentations, and program materials for completeness, deadlines, and logistical needs; flag questions or concerns for the Senior Director.
- Draft and edit session descriptions, speaker briefs, moderator questions, and other program materials using direction and source material provided by the Senior Director.
- Work with production, editorial, sales, marketing, and other internal teams to ensure speaker and program requirements are met.
- Provide onsite program support, including speaker check-in, mic and AV coordination, session readiness, and troubleshooting.
- Manage assigned speaker operations independently. Refer speaker selections, invitations, session placements, and all substantive content or programming decisions to the Senior Director.
You Have:
- Bachelor's degree and 0-2 years of relevant professional experience in event programming, conferences, financial services, editorial, communications, marketing, or a related field, or equivalent experience.
- Exceptional organization, attention to detail, and follow-through, with the ability to manage a high volume of speakers, deadlines, and deliverables across multiple events.
- Strong writing, editing, research, and critical-thinking skills.
- A proactive working style, with the ability to anticipate needs, identify problems, and move logistical work forward with minimal oversight.
- Sound judgment in managing logistics independently and referring speaker and content matters to the Senior Director.
- A collaborative, team-oriented approach and the ability to work effectively within a small group and across departments.
- Interest in financial services, wealth management, business, markets, or technology; relevant industry experience is preferred.
- Comfort working across technology and project-management platforms; experience with Google Docs and Sheets, Cvent, HubSpot, or similar systems is a plus.
- Ability and willingness to travel throughout the year.
