Urgo Medical North America seeks a Professional Education and Marketing Operations Specialist to coordinate and execute professional education and speaker programs, supporting the delivery of 200+ programs annually. This role partners with Medical Affairs, Marketing/Brand Management, Legal/Compliance, Sales Operations, and Training to ensure programs are strategically aligned, compliant, and well executed.

Qualifications

• Bachelor's degree in Marketing, Communications, Business Administration, Event Management, or related field preferred.
• 3+ years of experience in marketing operations, event coordination, professional education, pharmaceutical/medical device/healthcare marketing, or related field.
• Experience coordinating multiple programs or events simultaneously.
• Strong organizational and project management skills with exceptional attention to detail.
• Excellent written and verbal communication skills.
• Ability to collaborate effectively with cross-functional teams (Marketing, Medical Affairs, Legal/Compliance, Sales, Training).
• Ability to manage competing priorities and meet deadlines in a fast-paced environment.
• Proficiency with Microsoft Office Suite, particularly Excel and PowerPoint.
• Experience with speaker bureaus, HCP programs, compliance processes, or healthcare-related events is a plus.

Responsibilities

• Coordinate and execute approximately 200+ speaker programs, including dinners, symposiums, webinars, and other professional education events.
• Oversee end-to-end program coordination and ensure stakeholders have information, materials, and resources for successful execution.
• Manage speaker roster and connect qualified speakers with opportunities.
• Maintain speaker database accuracy with expertise areas, availability, and contact information.
• Coordinate program approvals, logistics, communications, and compliance requirements.
• Serve as central contact among speakers, customers, internal stakeholders, vendors, and partners.
• Coordinate speaker deck reviews and approvals with Medical Affairs, Marketing, Legal and others.
• Ensure presentation materials are available to speakers within required timelines and version control is maintained.
• Manage surveys and feedback collection for the speaker bureau program.
• Monitor feedback and report program insights; identify opportunities to improve the speaker program experience and processes.
• Cross-train on conference coordination and assist with conferences as needed; back-up for tradeshow coordination.
