Job summary

American Meetings, Inc. (AMI) is seeking a Sourcing Manager to lead venue sourcing for meetings and events. You will manage the RFP process from submission through contract execution, collaborating with Meeting Managers, clients, and hotel partners to meet program requirements and KPIs.

You will review requirements, submit RFPs via Cvent or similar platforms, evaluate venues, negotiate contracts, and provide strategic recommendations to ensure savings targets and client satisfaction.

Qualifications

  • 3+ years of related experience.
  • Experience in meeting planning, hotel sales, venue sourcing, hospitality, event management, or a related field.
  • Experience working with hotel/property sales teams and understanding meeting space requirements.

What you’ll do:

As a Sourcing Manager at AMI, you’ll provide project-based venue sourcing support for meetings and events, managing the sourcing process from RFP submission through property evaluation and closeout. You’ll partner closely with Meeting Managers, clients, and hotel partners to identify venues that meet program requirements, client expectations, and sourcing objectives.

  • Review program requirements provided by the Meeting Manager and identify appropriate properties.
  • Prepare and submit RFPs through Cvent or other designated sourcing platforms.
  • Manage the RFP process from initial submission through property selection and final contract execution.
  • Monitor RFP responses and follow up with properties to obtain complete and timely information.
  • Ensure all sourcing activity is conducted in accordance with client and AMI processes.
  • Participate in client calls to understand program objectives and sourcing requirements.
  • Evaluate venue options, negotiate contracts, and provide strategic recommendations.
  • Achieve client-specific sourcing KPIs, service level expectations, and savings targets.
  • Support departmental process improvements and sourcing best practices.
  • Identify potential concerns, discrepancies, or limitations with a property and communicate them to the Meeting Manager.
  • Compile comprehensive RFP reports and Excel spreadsheets for Meeting Manager review and presentation to the client.
  • Provide the Meeting Manager with accurate property information, site maps, meeting space details, and other documentation needed to make informed recommendations to the client.
  • Respond to and support additional sourcing or RFP requests as needed throughout the planning process.
  • Maintain accurate sourcing documentation and information to support KPI tracking and reporting.
  • Perform other related duties and special projects assigned.

What you’ll have:
  • 3 or more years of related experience
  • Experience in meeting planning, hotel sales, venue sourcing, hospitality, event management, or a related field
  • Experience working with hotel/property sales teams and understanding meeting space requirements
  • Proficiency in Microsoft Office Suite
Even better if you have:
  • A bachelor’s degree or higher
  • Experience with HCP-attended meetings
  • Experience with Cvent or similar sourcing platforms
