Job summary

Serena & Lily in San Francisco is seeking a Sourcing Coordinator to join the Sourcing team. The role emphasizes data accuracy, vendor communications, and cross-functional collaboration to keep production on schedule.

You will pull data, support cost evaluations, and track chargebacks while maintaining product information and responding to inquiries in Gladly. A bachelor’s degree and retail experience are preferred, with a hybrid 3-day office schedule.

Responsibilities

  • Pull and compile data from databases/spreadsheets to support the sourcing team’s decision-making (vendor comparisons, cost checks, and trend summaries).
  • Gather and organize documentation for vendor chargebacks, including DC audit-related charges, and ensure files are complete, accurate, and easy to reference.
  • Summarize chargeback details (reason codes, dates, SKU/product info, amounts, supporting evidence) and follow up to confirm outcomes with internal teams and vendors.
  • Support vendor cost evaluations by collecting pricing inputs (quotes, PO/vendor changes, freight/handling where applicable) and preparing clean reports for review.
  • Assist with cost tracking reporting by updating chargeback metrics and identifying discrepancies (e.g., unexpected increases, credits/avoidance opportunities) for sourcing review.
  • Collect, review, and track information related to damage/defective returns; log the findings and communicate issues to vendors with supporting evidence as directed.
  • Coordinate corrective action plan (CAP) follow-up by tracking vendor responses, due dates, and documentation until confirmation is received.
  • Respond to or support customer inquiries in ‘Gladly’ by partnering with the Sourcing Manager and relevant vendors to confirm the most accurate information and status.
  • Support sample management for resourcing and vendor explorations
  • Coordinate with logistics on product classification needs by ensuring the correct product data and references are shared with the right stakeholders.
  • Maintain product information repositories by collecting, reviewing, and updating product details for active sourcing needs
  • Provide support to QA during issue investigations by compiling relevant records (returns data, supplier info, chargeback evidence) and helping close the loop.
  • Communicate with vendors and internal teams to request needed documents, confirm status, and resolve data/process issues, escalating gaps to the Sourcing Manager when required.
  • Support the sourcing team with administrative and operational tasks critical to the management of the development and production process.

Serena & Lily is seeking a Sourcing Coordinator to join the Sourcing team. The Sourcing Coordinator is detail oriented, thorough and committed to seeing a project through on time. They multi-task efficiently and effectively while being flexible to accommodate the changing needs of the business. This person has a working knowledge of retail math, product performance requirements, and production processes. The Sourcing Coordinator builds strong cross-functional relationships. This is a self-motivated person that acts as an owner and excels in a fast paced, dynamic work environment.

RESPONSIBILITIES:

REQUIREMENTS:
  • Bachelor’s degree or equivalent
  • 1+ years’ experience in retail role
  • Strong organizational, communication (verbal and written), and data management skills.

COMPENSATION:
  • $70-75k per year is the anticipated starting base pay for this role. This range represents the low and high end of the anticipated base salary range for this role. The actual base pay is dependent upon many factors, such as: experience, education, and skills.

Employees can enroll in our company’s 401k plan. During the first year of employment, full-time employees accrue twenty-one days of PTO and seven paid holidays throughout the year.
