Job summary

Citadel Roofing and Solar in Vacaville is seeking a Solar Project Administrator to support new solar construction projects, builder models, and commercial builds. You will manage file creation, budget updates, and invoicing workflows using Creatio, SharePoint, and Sage 300 CRE.

You will coordinate with project managers and superintendents, ensuring accurate data entry, timely billing, and compliant documentation across builder lots and residential projects.

Qualifications

• 1-3 years of construction related experience - Solar PV ideal but not required
• 1-3 years of construction billing experience ideal
• General construction knowledge ideal but not required
• Process management experience required
• Detail oriented with data accuracy
• Experience working with matrixed project teams
• Excellent written and verbal communication skills
• Reliable attendance and customer service skills
• Pre-employment drug test and criminal background check

Responsibilities

• Process invoices for lots that are prewired or installed.
• Determine if lot is Cash Purchase or Monthly Lease and locate POs & WOs for billing.
• Submit invoices to Builders by mail, email, or through Builders’ website.
• File internal invoices in Invoice Project Folders and team shared Drive.
• Create electronic file folders under each Builder/Project Name.
• Update job budgets and add new lots or revise existing WIP.
• Create WIP forms and file in the Superintendents’ folders.
• File Job Budget Report in SharePoint when new or revised.
• Create Dummy Invoices for Referral Fees when lots are installed and billed.
• Update the Panel Budget file when jobs or lots change.
