Job summary

The Salvation Army – Peoria Family Services is seeking a Social Services Assistant to support the front window and surrounding area, assisting staff and the community in emergency services. Reports to the Peoria Social Services Assistant Director.

Minimum qualifications include a High School Diploma or equivalent and two years of administrative experience, with excellent communication and confidentiality. Bi-lingual abilities preferred and MS Office proficiency required.

Responsibilities

  • Provide administrative support at the front window and surrounding area.
  • Assist with scheduling, records maintenance, reporting, and correspondence.
  • Coordinate department communications and clerical duties as assigned.
  • Greet visitors in the front lobby and answer inquiries.
  • Collect information and documents for eligibility and assistance.
  • Prepare client records for case management staff.
  • Support utility emergency assistance processes and related paperwork.
  • Meet training requirements for the position.

Position Title: Social Services Assistant
JOB SUMMARY:

The Social Services Assistant will perform a variety of duties at the front window and surrounding area of Social Services. The position and duties support the staff while providing assistance to the community in emergency services.

Reports To: Peoria Social Services Assistant Director

Pay Grade: 203

Salary Range: $17.08 - $20.49 Hourly

ESSENTIAL DUTIES AND RESPONSIBILITIES:
  • Provide administrative support to the Assistant Director of Social Services by assisting with scheduling, maintaining records and documentation, preparing reports and correspondence, coordinating department communications and performing other clerical and organizational duties as assigned.
  • Work in coordination with the administrative staff for support and relief needs including but not limited to telephone support, mailroom management, front lobby operations, etc.
  • Acknowledge and greet individuals entering the front lobby.
  • Promptly answer the telephone and collect pertinent information from the client or transfer them effectively to the appropriate staff.
  • Build knowledge of program specific criteria to field calls for The Salvation Army.
  • Collect copies of individuals ID, bills or any and other required paperwork for assistance.
  • Complete filing of client records for case management staff.
  • Assist with Utility Emergency Assistance requests and process appropriate paperwork
  • Successfully satisfy the training requirements associated to the position and as required by The Salvation Army.

MINIMUM KNOWLEDGE, SKILLS, AND ABILITIES
Education:

High School Diploma or equivalent. Significant experience may be considered in lieu of.

Experience:

Two years plus of experience in a receptionist, front desk, customer service or administrative support role preferred.

Skills/Abilities
  • Excellent written and verbal communication skills, including experience or capacity to demonstrate positive interpersonal skills and work as a cooperative team member.
  • Bi-lingual skills preferred.
  • Close attention to detail and a high level of confidentiality
  • Ability to multi-task several projects concurrently
  • Must have an interest and ability to work with people of diverse racial, ethnic, and socio-economic backgrounds in a sensitive and culturally appropriate manner.
  • Ability to establish and implement policies and procedures.
  • Demonstrated awareness of budget resources and cost control, as well as planning and administering budgets.
  • Proficiency in computer software applications, including demonstrated experience in using email, MS Office applications.
JOB LIMITATIONS
  • This individual will only commit resources of The Salvation Army that have been allocated or approved.
  • This individual will adhere to all policies and procedures in carrying out the responsibilities of this position. The individual will keep the designated Supervisor informed of all critical issues relating to their area of responsibility.
PHYSICAL DEMANDS/WORK ENVIRONMENT
  • This position may be required to do light physical work. Sometimes heavier.
  • To successfully perform the essential functions of this position, the employee is regularly required to use standard office equipment including a PC and potentially make public presentations/interactions.
  • The work environment for this position includes an office environment with a low to moderate noise level.
  • This individual must be able to travel to meet the needs of the position. A valid MVR is required.
REPORTING RELATIONSHIPS
  • This position reports to the Peoria Assistant Social Services Director.
  • In context related to this position's duties, this individual will interact with a wide range of contacts both internal and external. In these contacts he/she will act as a representative of The Salvation Army and its mission.

  • This individual will be evaluated on how effectively the outcomes of this position are achieved. Timeliness and accuracy of accomplishing assigned goals will be reviewed. An evaluation of how effective service is provided. Performance will also be determined by outcome information provided during weekly staff meetings and monthly reports.
