Position Summary
The Site Athletic Director, under the supervision of the site principal and assistant district athletic director, is responsible for leading and managing all high school athletic programs for the assigned campus(es). This role provides strategic leadership, ensures compliance with OSSAA, district, state, and federal regulations, and fosters a positive and inclusive athletic environment that supports student development and academic success.
Essential Duties
- Oversee student athlete eligibility, including medical clearance and academic standing through RankOne.
- Track and submit summer program hours.
- Support development and alignment of youth sports initiatives (PAL, YMCA, Fields & Futures, etc.).
- Ensure coaches maintain required certifications.
- Support recruitment, training, and evaluation of coaches.
- Conduct weekly PD sessions with middle school athletic coordinators in feeder patterns.
- Serve as liaison between school leadership, coaches, parents, district athletics, and media.
- Report monthly on athletic activities to the Principal and District Athletic Department.
- Cultivate relationships with boosters and donors.
- Oversee fundraising efforts and acknowledgment of contributions.
- Maintain an athletics website highlighting teams, schedules, and student-athlete achievements.
- Direct, supervise, and support all athletic programs and coaching staff.
- Implement and maintain a site-wide athletic program structure aligned with district goals.
- Ensure all programs comply with OSSAA, district, and state policies.
- Attend all required district-level meetings (ACAC, COADA, etc.).
- Ensure timely submission of eligibility forms, hardship waivers, and other OSSAA-required documentation.
- Approve and coordinate sport schedules, facility usage, and event logistics.
- Collaborate with the site administration to ensure event supervision during all athletic seasons.
- Maintain a master calendar for all athletic-related activities.
- Manage athletic budgets, purchasing, and expenditures.
- Ensure prompt processing of bills, reimbursements, and financial reports.
- Collaborate with the school treasurer on financial matters and income tracking.
- Coordinate gate workers, announcers, concession staff, clock keepers, and officials.
- Ensure compliance with payroll procedures and accurate reporting for all game staff.
- Oversee concessions and ensure operation during all athletic events.
- Encourage and support all coaches in obtaining CDL certification.
- Coordinate transportation logistics in partnership with the District's Transportation Department.
- Provide backup transportation as needed for athletic events for athletes and coaches using a District vehicle or bus.
- Perform other duties as assigned to support the athletics program and department.

Minimum Qualifications (Knowledge, Skills and/or Abilities)
- Bachelor’s degree in a related field
- Current Oklahoma Teaching Certificate
- Minimum of 3 years of leadership experience as a high school head coach
- Membership in OIAAA, NIAAA, and OCA
- Demonstrated experience in increasing student participation and successful staff recruitment
- In-depth knowledge of OSSAA rules and district athletics policies
- Strong leadership, communication, and organizational skills
- Advanced proficiency in RankOne, Arbiter RefPay, Google Suite, Excel, and presentation tools
- Maintain a good driving record and current CDL
Preferred Qualifications (Knowledge, Skills, and/or Abilities)
- Master's degree preferred
- Minimum of 2 years of experience as a Site Athletic Director
- Relevant experience may be substituted for formal education at a 2:1 ratio.
Physical/Mental Requirements
- Manual dexterity to write legibly and perform duties on a computer.
- Visual acuity to read, interpret, and transcribe written material.
- Normal hearing range and clear speaking abilities for interaction.
- Frequent stooping, bending, stretching, and lifting up to 25 pounds.
- Occasional lifting up to 75 lbs.
- Sitting and standing for prolonged periods.
Work Environment
- Multiple location types, including office, external meetings, and sporting event locations, with flexible hours, including evenings and weekends.
- Exposure to outdoor elements, noise, and high-energy environments.
- Frequent travel within and beyond the District using district or personal vehicles.
