We are looking for self-motivated individual for our Dispatching team. This is a full-time position that qualifies for medical, dental, vision, accident, cancer, critical illness, hospital indemnity, STD, 401K with a company match, vacation and PTO.
Job duties include, but are not limited to:
- Serve as the main point of contact for the Large Truck CDL drivers.
- Ensure that the drivers have the proper paperwork for the scheduled delivery and can leave the yard in a timely manner.
- Responsible for contacting customers and confirming deliveries 2 days ahead. Reschedule if the customer is not contacted.
- When customers request a certain truck, make sure you plan to that. This may sometimes require another load to be shipped.
- Print out the next day’s Work Orders and Invoices, assign to the drivers, and place in their boxes.
- Check that custom orders are here for shipment at least 2 days ahead and advise of problems to the load before ship date if possible.
- Complete the First truck Sheet and have to the Metal and Trim Shop as well as Yard Lead by 2:00 daily. Do not change unless absolutely necessary as to not disrupt production.
- If unable to keep a ship date, contact the customer, the salesman, the building coordinator and try to move it to the next scheduled day.
- The goal is to deliver within 5 days on material only.
- If a backorder is received from the yard, scan over for tracking and scheduling.
- Responsible for ensuring all loads have drivers. Need to cover for scheduled and non-scheduled absences.
- Be aware and alert management of driver performance whether it be good or bad. Promote safe, quality work, efficiency, productivity, and a good effort.
- In case of too many first trucks, call the customers to find out who can wait and communicate with Coordination to verify building schedule.
- Ensure that the drivers are contacting you before heading back to Summertown. If material is damaged, or they are unable to collect money, or they picked up material as requested.
- Ensure that pickups are completed, and that the material is returned to Summertown Metals.
- After receiving the check for payment from the driver, write the invoice number on the check, make a copy of the check, and forward the check to accounts receivable. Document check info on payment log.
- Work with the Quality inspector to ensure any issues found are corrected and find corrective actions.
- In slow times pull all deliveries forward that are possible. Coordinate with customer and manufacturing to confirm material is ready.
- Look for opportunities and schedule for picking up incoming freight.
- This position requires the dispatcher to be self-directed.
- Collecting and turning in fuel receipts in a timely fashion.
