Job summary

EMIT Technologies is seeking a reliable Shipping Coordinator to join our growing logistics team in Sheridan, WY. You will prepare, document, and dispatch customer orders and internal transfers, coordinating with carriers and ERP records to ensure accurate and on-time shipments.

You will collaborate across departments, maintain FIFO-safe shipping practices, and help uphold customer satisfaction with precise paperwork, tracking, and proactive communication on shipping delays or changes.

Qualifications

• Experience in shipping, logistics, or order fulfillment preferred.
• Strong attention to detail and documentation accuracy.
• Familiarity with ERP systems and carrier portals.
• Experience preparing bills of lading, packing slips, shipping labels, or freight documentation is a plus.
• Ability to coordinate parcel, LTL, and truckload shipments.

Responsibilities

• Pick and prepare customer shipments according to orders and work with Packing/Inventory to confirm readiness.
• Verify order accuracy, packaging integrity, and customer-specific requirements before shipments.
• Prepare and document internal transfer shipments and record details in the ERP system.
• Generate packing slips, bills of lading, shipping labels, and other required paperwork while maintaining traceability.
• Schedule pickups with parcel, LTL, and truckload carriers, selecting cost-effective options.
• Record tracking information in the ERP system and close sales orders and transfers.
• Monitor shipment progress and communicate delays or carrier changes.
• Coordinate with Inventory, Sales, Production, and other departments to align readiness and loading.
• Maintain clean, organized, and safe shipping and staging areas using FIFO.
• Assist Receiving/Inventory during downtime while following safety procedures.

We’re looking for a reliable and detail-oriented Shipping Coordinator to join our growing team at EMIT Technologies. In this role, you’ll ensure customer orders and internal transfers are accurately prepared, documented, and dispatched on time. You’ll coordinate with carriers, maintain accurate ERP records, and collaborate across departments to support efficient logistics operations and a positive customer experience.

Key Accountabilities:

• Pick and prepare customer shipments according to sales and work orders, coordinating with the Packing Department and Inventory Specialists to confirm product availability and readiness.
• Verify order accuracy, packaging integrity, and customer-specific requirements before shipments leave the facility.
• Prepare and document internal transfer shipments, accurately recording materials, quantities, destinations, and delivery details in the ERP system.
• Generate packing slips, bills of lading, shipping labels, export documentation, and other required paperwork while maintaining lot and serial number traceability.
• Schedule pickups with parcel, LTL, and truckload carriers, selecting cost-effective options that meet required delivery timelines.
• Record tracking information and shipment details in the ERP system to ensure sales orders and internal transfers are properly closed.
• Monitor shipment progress, communicate delays or carrier changes, and respond promptly to internal and customer shipping inquiries.
• Coordinate with Inventory, Sales, Production, Material Handling, and other departments to align order readiness, staging, and loading activities.
• Maintain a clean, organized, and safe shipping and staging area using FIFO practices and clearly labeling and separating shipments for efficient loading.
• Assist Receiving and Inventory during downtime or peak periods while consistently following forklift, dock, and material-handling safety procedures.

Qualifications:

• Previous shipping, logistics, inventory, warehouse, or order-fulfillment experience preferred.
• Strong attention to detail and commitment to order and documentation accuracy.
• Familiarity with ERP systems, shipping software, or carrier portals preferred.
• Experience preparing bills of lading, packing slips, shipping labels, or freight documentation is a plus.
• Ability to coordinate parcel, LTL, and truckload shipments.
• Strong organizational, communication, and problem-solving skills.
• Ability to prioritize multiple shipments and meet deadlines in a fast-paced environment.
• Forklift experience or certification preferred; training may be available.
• Dependable, team-oriented, and willing to support other departments as needed.

Measures of Success:

• Maintain a 99% or higher on-time shipment rate for customer orders and internal transfers.
• Maintain a shipping error rate of 0.5% or less.
• Ensure all shipped sales orders and internal transfers are closed in the ERP system with accurate tracking information.
• Select the lowest-cost carrier option at least 90% of the time when multiple options meet delivery requirements.
• Communicate internal transfer delivery information within 24 hours of shipment.
• Maintain a clean, organized, and safe shipping area.

Physical & Safety Requirements:

• Ability to lift, carry, and move materials as required throughout the shift.
• Comfortable standing, walking, bending, and working in shipping, warehouse, and dock areas.
• Ability to safely operate forklifts and other material-handling equipment, as authorized.
• Consistent use of required PPE and adherence to all shipping, dock, and equipment safety procedures.
